
Executive Assistant to the CEO

JOB OBJECTIVE
Under general direction, the position is responsible for providing executive level operational and strategic assistance to the Executive Management Team and advisory bodies
DUTIES AND RESPONSIBILITIES
A. Office Management
Manages the implementation of activities, including the resources and schedules, to ensure that all operational errands are efficiently conducted
Provides overall coordination in the operation of the Executive Office
Manages the schedule of the executive management team
Coordinates with line heads in finalizing meeting schedules
Informs all attendees of the meeting agenda ahead of time
Takes and transcribes minutes and maintains records for various committees involving the Management, Executive and other Ad Hoc Committees, and advisory bodies
Ensures that all directives, orders and decisions from the P/CEO are documented, communicated and clarified to the appropriate stakeholders at the right time
Drafts correspondences originating from the office of the Executive Management
Drafts responses to correspondences addressed to the Executive Management
Under general guidance, decides, for and in behalf of the Executive Management, on matters not requiring personal attention and within prescribed limits of authority
Manages the execution of corporate events such as Christmas Parties, Anniversaries, Birthdays, Outings, etc.
B. Technical Assistance
Manages all technical and special requirements pertaining to the Executive Offices
Collates, monitors and reports to the Executive Management all departmental business
commitments and actual performance on a regular basis.
Identifies major, urgent and unresolved issues needing immediate action
Implements strategies to ensure that all commitments are delivered in accordance to set expectations
Provides consultative, research, fact-finding and advisory/special service to the Executive and Management Committees
C. Corporate Planning and Deliverables Monitoring
Actively assists in the strategic and operational planning activities of the company
Screens, reviews and approves line managers' reports relative to the development of approved plans, the status and assessment of the same
Screens, reviews and approves line managers' reports on a regular basis data-driven analytics on finance and administration, and other data as defined in the group's KRA/KPI
JOB SPECIFICATION S
Minimum Educational Attainment - College graduate preferably in the field of Business Administration, or Behavioral Science. Post graduate degree or units in the field of Business Management is preferred
Actual Work Experience - 5 years' experience in similar or related capacity/functions
