Overview
We are seeking a highly organized and proactive Virtual Assistant to support our Managing Partner in various administrative tasks. The ideal candidate will possess strong communication skills and the ability to manage multiple priorities effectively. This role is perfect for someone who thrives in a dynamic environment and is eager to contribute to the success of our organization. The candidate must be available to work during US Eastern Time business hours. PLEASE NOTE: this role is as a subcontractor - you will need to invoice us monthly only for hours completed.
Duties
- Provide executive administrative support, including scheduling meetings, managing calendars, and coordinating travel arrangements (must be available during Managing Partners travel times).
- Assist with event planning and coordination, ensuring all details are executed flawlessly.
- Perform clerical tasks such as filing documents, managing phone systems, and maintaining organized records.
- Utilize Google Suite for document creation, data management, and collaborative projects.
- Coordinate projects by tracking deadlines, communicating with team members, and ensuring timely completion of tasks.
- Manage office operations by maintaining supplies, equipment, and overall organization of the virtual workspace.
- Manage Zoom calls - using breakout rooms and other Zoom functions
Skills
- Proficiency in event planning with a keen eye for detail.
- Strong executive administrative support skills with experience in managing schedules and communications.
- Solid clerical abilities including filing, organization, and familiarity with phone systems.
- Expertise in Google Suite applications (Docs, Sheets, Drive) for efficient task management.
- Experience in project coordination with the ability to prioritize tasks effectively.
- Strong office management skills that contribute to a well-organized virtual environment.
- Proficiency in using Zoom tools and functions
- Proficiency in Adobe and Adobe Sign or similar e-signing software for creating contracts. Proficiency in Word/PPT/Excel.
