About the Role

We are seeking a proactive and highly organized Executive Assistant to provide remote administrative and operational support to an executive focused on sales and business development. This role involves working in Odoo to keep communications and notes centralized, managing schedules and follow-ups, handling light email correspondence, and conducting research to support meetings and strategic outreach.

This position is ideal for someone detail-oriented, tech-savvy, and resourceful, with the ability to manage multiple priorities in a fast-paced, evolving environment.

Key Responsibilities

CRM & Email Organization:

  • Maintain and update records, notes, and communications in Odoo, ensuring information is accurate, centralized, and easy to access.
  • Draft and send simple email replies on behalf of the executive when needed.

Calendar & Scheduling:

  • Manage and coordinate the executive's calendar, including scheduling meetings, sending reminders, and ensuring all relevant details and materials are prepared.
  • Anticipate scheduling conflicts and proactively suggest solutions.

Operations & Follow-ups:

  • Assist with follow-ups with manufacturers and supply chain partners until a full-time operations person is hired.
  • Track ongoing conversations and ensure key tasks and deadlines are not missed.

Research & Preparation:

  • Conduct background research on people and companies scheduled for meetings, focusing on relevant information such as:
  • Industry background and company activities.
  • Personal or professional connections with the executive (e.g., shared alma maters, previous companies, regions, or affiliations).
  • Prepare concise briefing notes to help the executive personalize meetings and outreach.

Qualifications

  • Proven experience as a Virtual Assistant, Administrative Assistant, or similar role supporting senior leadership.
  • Strong organizational and time management skills with attention to detail.
  • Excellent written and verbal communication skills in English.
  • Comfortable using CRM platforms (preferably Odoo) or similar systems.
  • Proficiency in online research and summarizing information clearly.
  • Tech-savvy with the ability to learn tools quickly.
  • Professional, proactive, and able to work with minimal supervision.
  • Reliable internet connection and suitable home office setup for remote work.
