Job Summary:
The Executive Assistant to the President serves as the primary point of contact for internal and external stakeholders, providing high-level administrative support to the President. The role consists of the responsibility to manage the President's schedule, coordinating meetings, handling correspondence, and facilitating communication between the President and various departments within the organization.
Duties and Responsibilities:
- Manage the President's calendar, schedule appointments, and coordinate meetings, ensuring optimal use of time and resources.
- Prepare agendas, presentations, and briefing materials for meetings, ensuring the President is well-informed and prepared.
- Handle correspondence, emails, and phone calls on behalf of the President, responding promptly and professionally.
- Serve as a liaison between the President and internal departments, external partners, and stakeholders, conveying messages accurately and efficiently.
- Draft, proofread, and edit correspondence, reports, and other documents on behalf of the President, maintaining confidentiality and discretion.
- Facilitate communication between the President and key stakeholders, ensuring timely follow-up on action items and commitments
- Organize and maintain electronic and physical files, records, and documents related to the President's activities, ensuring easy access and retrieval as needed.
- Conduct research, compile data, and prepare reports on various topics as assigned by the President, presenting findings in a clear and concise manner.
- Stay informed about organizational priorities, initiatives, and developments to provide relevant information and support to the President.
- Coordinate logistics for meetings, conferences, and events attended by the President, including venue booking, travel arrangements, and catering.
- Attend meetings as requested by the President, take accurate minutes, and follow up on action items to ensure timely execution.
- Assist in the planning and execution of special events, such as fundraisers, corporate retreats, and board meetings, as needed
- Handle sensitive and confidential information with the utmost discretion and integrity, maintaining confidentiality at all times.
- Exercise judgment and discretion in decision-making, knowing when to escalate matters to the President and when to handle them independently.
- Uphold ethical standards and confidentiality policies in all interactions and communications
- And such other tasks which may be assigned from time to time.
Qualifications:
- Bachelor's degree in Business Administration, Communications, or a related field preferred.
- Proven experience working as an executive assistant or in a similar role, supporting senior executives or C-suite members
- Excellent organizational and time management skills, with the ability to prioritize tasks and meet deadlines in a fast-paced environment.
- Strong written and verbal communication skills, with a keen eye for detail and accuracy.
- Proficiency in MS Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant software applications.
- Ability to work independently with minimal supervision, as well as collaborate effectively within a team.
- Demonstrated discretion, tact, and professionalism when handling confidential information and sensitive matters.
- Flexibility and adaptability to changing priorities and willingness to work occasional evenings or weekends as needed
