The Executive Assistant to the President and CEO provides high-level administrative support, ensuring efficient operation of the Office of the President. The role requires discretion, professionalism, and the ability to handle sensitive information while coordinating with internal and external stakeholders. The Executive Assistant manages the CEO's schedule, correspondence, meetings, and special projects, enabling the CEO to focus on strategic leadership and organizational priorities.

Key Responsibilities

  • Manage and maintain the CEO's calendar, schedule meetings, and coordinate appointments
  • Draft, review and prepare reports, memos, presentations, and other documents
  • Maintain organized filing systems (digital and physical) for confidential documents
  • Coordinate domestic and international travel arrangements, including itineraries, accommodations, and logistics
  • Prepare agendas, materials, and minutes for executive meetings, and other official gatherings
  • Track follow-up actions and ensure deadlines are met
  • Organize company events, town halls, and high-level meetings involving the CEO
  • Act as the primary point of contact between the CEO and internal/external stakeholders
  • Build and maintain positive relationships with board members, executives, partners, and clients
  • Ensure smooth communication across all levels of the organization
  • Assist in the coordination and monitoring of strategic projects and initiatives assigned by the CEO
  • Conduct research and prepare briefing materials as required
  • Handle special assignments and confidential matters with discretion and accuracy
  • Manage sensitive information with strict confidentiality and discretion
  • Represent the Office of the President with professionalism and integrity

Qualifications

  • Bachelor's degree in Business Administration, Management, Communication, or related field
  • Minimum of 2 years' experience as an Executive Assistant, preferably supporting C-level executives
  • Excellent written and verbal communication skills
  • Strong organizational and time management abilities
  • High level of discretion and confidentiality
  • Proficiency in MS Office (Word, Excel, PowerPoint, Outlook) and other productivity tools
  • Ability to manage multiple priorities and meet tight deadlines
  • Strong interpersonal skills with the ability to interact effectively with all levels of staff, board members, and external partners
  • Problem-solving mindset and ability to anticipate needs

Working Conditions

  • Full-time position; may require extended hours, including evenings or weekends, depending on the CEO's schedule
  • Office-based with occasional travel as needed
