At MOVE Your Biz, we are seeking a highly skilled Senior Administrative Coordinator to provide exceptional support to our executive team.

Salary: $330 - $430 per month + $50 allowance

About the Role

This is a part-time position that requires a bilingual individual fluent in both English and Mandarin. The ideal candidate will have a minimum of 2 years of experience as an Executive Assistant or in a similar administrative role.

  • Administrative Support: Provide high-level administrative assistance to executives, managing calendars, scheduling meetings, and organizing travel arrangements.
  • Bilingual Communication: Communicate effectively in both English and Mandarin, handling email, phone calls, and other communications with a diverse audience.
  • Document Preparation: Prepare, edit, and translate documents, presentations, reports, and correspondence as needed.

The successful candidate will be responsible for coordinating meetings, preparing agendas, and taking detailed minutes to distribute to stakeholders. Additionally, they will assist in managing and tracking tasks and deadlines for the executive team, ensuring all priorities are met on time.

Key Responsibilities:

  • Coordinate travel plans, accommodations, and itineraries, ensuring all details are managed efficiently.
  • Maintain accurate records, enter data into systems, and handle sensitive information with confidentiality.
  • Act as a point of contact between the executive team and internal/external stakeholders, ensuring professional and efficient communication.

Requirements & Qualifications:

  • Bilingual Proficiency: Fluency in both English and Mandarin (spoken and written) is required for effective communication with diverse stakeholders.
  • Experience: A minimum of 2 years of experience as an Executive Assistant or in a similar administrative role.
  • Organizational Skills: Strong organizational abilities, attention to detail, and the capability to manage multiple tasks efficiently.
  • Communication Skills: Excellent written and verbal communication skills in both languages, with a professional and clear manner.
