Job Overview

We are seeking an accomplished Administrative Coordinator to support senior leadership with day-to-day operations. This role is ideal for a highly organized individual who can manage multiple priorities and maintain detailed records.

This is a remote opportunity that requires the ability to work independently while maintaining alignment with executive priorities. The successful candidate will have experience in administrative operations, calendar management, meeting scheduling, and coordination across multiple stakeholders.

  • Main Responsibilities:
  • Provide comprehensive administrative assistance to senior leaders, including calendar management, meeting scheduling, and coordination across multiple stakeholders.
  • Draft, edit, and format high-quality documents, reports, and presentations using Microsoft Office tools to support proposals, project updates, and internal communications.
  • Maintain organized filing systems for contracts, project documentation, and corporate records, ensuring accuracy and confidentiality.
  • Manage email and phone correspondence with professionalism and discretion, acting as a liaison between executives, clients, and internal teams.
  • Track project timelines, milestones, and deliverables; assist in coordinating special initiatives, ensuring tasks are completed on time and to required standards.
Key Qualifications:
  • A minimum of 2.5-5 years of proven experience as an Executive Assistant or in a similar high-level administrative role; industry experience in construction management, engineering, or related fields preferred.
  • Advanced skills in Microsoft Word; working knowledge of other Microsoft Office applications including Excel, PowerPoint, Outlook, and SharePoint.
  • Exceptional ability to manage multiple priorities, maintain detailed records, and uphold deadlines in a fast-paced environment.
  • Strong written and verbal communication abilities, with the tact and professionalism required for client-facing correspondence.
  • Self-motivated, resourceful, and able to work with minimal supervision while maintaining alignment with executive priorities.
  • Proven track record of handling sensitive information with integrity and adherence to corporate confidentiality standards.
