Job Description

We are seeking a highly organized and proactive Operations Coordinator Specialist to support our legal practice specializing in estate planning and related services. This role is ideal for someone with strong coordination skills who thrives in a structured environment and enjoys client-facing communication.

This individual will be responsible for reviewing all existing open files, converting them into structured projects, identifying key milestones, deliverables, timelines, and deadlines. They will also build and maintain internal status review documentation to track progress and ensure accountability.

Responsibilities

  • Provide timely and consistent updates to clients through external status review documentation.
  • Serve as the primary point of contact for clients, delivering file updates proactively.
  • Coordinate with legal staff and external stakeholders to ensure timely completion of tasks and adherence to deadlines.
Qualifications
  • Recent hands-on experience with project management tools (e.g., Jira, Trello, Asana, ClickUp).
  • Demonstrated experience in project management, office administration, or operations.
  • Exceptional ability to manage multiple projects, prioritize tasks, and meet deadlines.
  • Excellent written and verbal communication skills, with a professional and client-friendly tone.
  • Proven ability to manage competing priorities in a fast-paced environment.
  • Reliable, proactive, and detail-oriented approach to work.
