Remote Intake Specialist Job Description

We are seeking a skilled Remote Intake Specialist to join our team. As a key member of our operations, you will play a vital role in providing exceptional patient care and ensuring seamless communication between patients and doctors.

Job Responsibilities:
  • Frontline Patient Communication: Provide warm welcomes, reassure patients in urgent situations, collect initial information with empathy, and manage intake phone calls in a friendly and professional manner.
  • Patient Information Gathering: Obtain detailed client information, record interactions accurately, and maintain confidentiality when handling personal health data.
  • Appointment Scheduling: Assess urgency, schedule same-day or urgent appointments, coordinate doctor availability, and input details into the system with high accuracy.
  • Doctor Coordination: Determine the best-suited doctor for each case based on symptoms, location, and timing, communicate promptly, and provide necessary patient details.
  • Communication & Follow-Up: Send confirmation details, informative follow-ups, and ensure patients know what to expect and doctors have necessary information.
  • Post-Appointment Follow-Up: Confirm issue resolution, verify visit completion, document outcomes, and address any additional patient needs or questions.
  • Issue Resolution & Troubleshooting: Proactively manage logistical issues, resolve scheduling conflicts, troubleshoot technical difficulties, and find timely solutions.
  • Shift Handover: Collaborate with colleagues during shift overlaps, provide clear updates, and review handover notes to ensure a smooth transition.
  • Administrative Tasks: Maintain organized records, update patient profiles, log payment links, and flag incidents for management review while upholding standards for data accuracy and confidentiality.

Requirements:
  • Experience: 1+ years of experience in customer service, patient intake, or call center roles. Healthcare industry experience is beneficial but not required.
  • Excellent Communication Skills: Fluency in English, strong written communication, active listening skills, and a patient telephone demeanor.
  • Customer-Centric Approach: A genuine passion for helping people, empathy, patience, and professionalism in every interaction.
  • Organizational Skills: Exceptional multitasking, organizational abilities, capable of juggling multiple tasks, and prioritizing urgent situations.
  • Tech Savvy: Comfortable using technology, experience with electronic medical record systems, scheduling software, or CRM tools is preferred.
  • Problem-Solving: Critical thinking, quick decision-making skills, and resourcefulness to resolve scheduling or logistical conflicts.
  • Attention to Detail: Meticulous in recording patient information, scheduling details, and follow-up notes correctly.
  • Team Collaboration: Ability to work as part of a remote team, communicating with colleagues and doctors across time zones.
  • Adaptability: Comfortable working in a fast-paced operational environment, willingness to learn about services, coverage areas, and new tools or protocols.
