Executive Virtual Support Specialist
Job Description:As a key member of our team, you will provide high-level administrative support to senior leadership, ensuring seamless day-to-day operations. Your exceptional organizational skills and technical expertise will enable you to efficiently manage calendars, schedule meetings, and coordinate appointments across multiple time zones.
Utilizing your proficiency in Google Workspace and Microsoft Office tools, you will prepare, organize, and distribute documents, presentations, and reports with precision and accuracy. Additionally, you will conduct research and provide concise summaries to inform decision-making, leveraging your excellent English skills and ability to draft professional emails and documents.
Key Responsibilities:- Manage CEO's calendar, schedule meetings, and coordinate appointments
- Handle email correspondence, prioritize messages, and draft responses on behalf of the CEO
- Prepare, organize, and distribute documents, presentations, and reports using Google Workspace and Microsoft Office tools
- Conduct research and provide concise summaries to assist CEO in decision-making
- Coordinate virtual meetings, including preparing agendas, taking detailed notes, and following up on action items
- Maintain organized digital files and ensure timely retrieval of information
- Act as liaison between CEO and internal/external stakeholders
- Bachelor's degree in related field preferred
- Previous experience as virtual assistant, executive assistant, or similar role supporting senior leadership
- Background in supporting C-level executives preferred
- Excellent English skills (written and verbal) with ability to draft professional emails and documents
- Proficiency in Google Workspace (Gmail, Calendar, Docs, Sheets, Slides) and Microsoft Office (Word, Excel, PowerPoint)
- Tech-savvy and comfortable learning new tools and software as required
- Familiarity with project management tools (e.g., Asana, Jira, or similar) preferred
- Experience working with remote team and across time zones also preferred
- Strong organizational skills and attention to detail
- Ability to multitask, prioritize effectively, and meet deadlines in dynamic environment
- High level of discretion and ability to handle sensitive information with confidentiality
