Overview

Blind Octave is an award-winning art and post-production company delivering creative media, sonic branding and advertising solutions across Europe and the Middle East. Headquartered in Amsterdam with operational headquarters for the MENA region in Dubai, we are seeking a meticulous and reliable Virtual Administrative Assistant to provide crucial support in financial administration and client operations.

This is a remote, part-time role on a 6-month contract, renewable based on performance and need.

Position Summary

We are looking for a detail-oriented and reliable Administrative Assistant (Junior to Mid-Level) to provide essential support to our operations. This part-time, remote position is ideal for someone with strong organizational skills who can ensure the smooth handling of essential administrative tasks. The role carries a modest workload but requires high accuracy, reliability and availability when needed.

Responsibilities
  • Prepare and issue client invoices
  • Submit invoices and related documentation through client portals, tracking progress and approvals
  • Collect, organize and maintain payment receipts and supporting paperwork
  • Record and submit basic bookkeeping and administrative documents as directed
  • Handle routine email correspondence and follow up on outstanding tasks
  • Support small-scale administrative operations to ensure efficiency
Qualifications & Skills
  • Excellent English communication skills (written and spoken)
  • Readily available to support tasks, including at short notice
  • Strong attention to detail and organizational ability
  • Familiarity with invoicing processes and basic bookkeeping
  • Comfortable working with email systems and client portal platforms
  • Able to work independently with discretion and confidentiality
Employment Details
  • Employment Type: Remote, Part-Time (ad-hoc basis)
  • Contract: 6-month contract, renewable based on performance and business needs
  • Schedule: Flexible; workload as needed – not daily
  • Compensation: Monthly fixed payment (modest, reflecting the limited workload)
  • Location: Remote, with company base in Amsterdam and MENA headquarters in Dubai
