The client operates C5 Expedite/C5X, a logistics company with nearly 100 units on the road, as well as ventures in real estate, package shipping, and short-term rentals. He recently launched the Johnny Marley Talent Show, a growing entertainment platform that aims to give local artists nationwide exposure. With so many moving parts, the client values reliability, organization, and accountability in his support team.

Job Description

We are seeking a Administrative Assistant to help maintain smooth operations across multiple businesses. This role is key in monitoring and checking the daily work of other VAs, ensuring tasks are completed accurately and on time. You will handle administrative routines, review reports, flag inconsistencies, and provide the client with clear visibility into the performance of his remote team.

The role requires daily Zoom meetings with the owner to review priorities, track progress, and ensure alignment across multiple ongoing projects. This is an excellent opportunity for someone who is highly detail-oriented, organized, and proactive. Over time, there is potential for this role to evolve into a broader operations or management position.

Responsibilities
  • Attend daily Zoom meetings with the owner to review tasks, priorities, and performance updates
  • Monitor and review the work submitted by other VAs across multiple businesses
  • Create daily or weekly reports summarizing task completion, issues, and progress
  • Conduct quality checks to ensure accuracy and compliance with instructions
  • Assist in documenting SOPs (standard operating procedures) and updating workflows
  • Follow up with VAs on pending or overdue tasks to maintain accountability
  • Support the client with administrative routines such as scheduling, file organization, and correspondence
  • Track deadlines and ensure deliverables are met on time
  • Provide feedback to the client on areas of improvement within the team's workflow
  • Participate in weekly one-on-one coaching sessions and occasional screen-sharing training
  • Maintain confidentiality while handling sensitive business information
Requirements
  • Excellent English communication skills (written and verbal) with professional proficiency
  • Previous experience as a Virtual Assistant, Administrative Assistant, or Team Coordinator
  • Strong organizational and reporting skills with attention to detail
  • Ability to review, audit, and follow up on other team members' work
  • Proficiency with common productivity tools (Google Workspace, Excel, project/task management apps)
  • Self-starter with the ability to work independently while staying accountable
  • Reliable high-speed internet connection and ability to join daily Zoom meetings
  • Comfortable with flexible scheduling and weekly coaching check-ins
  • Strong integrity and commitment to supporting long-term business growth
