Executive Assistant

Position Overview:
We are looking for a committed and passionate individual that can deliver secretarial and miscellaneous administrative services to a high-level executive. In this role, the Executive Secretary will be responsible for the effective management of priorities through high quality administration, manages their diary, arrange travel requirements, crafts and organizes visitor itineraries, coordinates meetings, safeguards confidential matters and performs other administrative duties.
Key Responsibilities:
- Provide secretarial support at the assigned office.
- Manage, set up meetings and maintain the diary of the high-level executive.
- Ensure smooth communication between the high-level executive and internal departments, as well as external stakeholders. Disseminates vital information to involved parties via phone, memo, or e-mail.
- Receives all telephone calls for the high-level executive, while observing telephone courtesy standards, in their absence.
- Safe keeps and maintains orderly files.
- Ensures confidentiality of reports and information prepared and maintained; develops a system to provide easy access to specific information and displays/delivers information quickly on demand.
Qualifications:
- Must be amenable to work onsite in Makati.
- Graduate of any course from a reputable school.
- Minimum of three [3] years relevant experience.
- Proficiency in Microsoft Office Suite.
- Above average oral and written communication skills.
- Ability to plan, organize, anticipate requirements in advance.
- Meticulous at work, a fast learner and able to work on own initiative with minimum supervision in a dynamic environment.
- Highly values integrity, moral and ethical work conduct.
- Has a very organized and thorough approach towards work.
- Ability to see projects through from start to finish managing time and tasks effectively.
- Possess critical thinking ability, excellent administration, and coordination skills.
- Above average interpersonal skills, personable and can confidently interact with all levels of the organization.
