**Job Overview:**

Satori Executive Training OPC is a leading multinational fleet management solutions company, establishing its Manila office and seeking a proactive and versatile Executive Assistant to manage day-to-day office operations while supporting business activities, special projects, and leadership coordination.

Responsibilities include:

  1. Office Operations & Administration:
    • Oversee the smooth functioning of office operations, including supplies, facilities, and vendor coordination.
    • Manage office maintenance, security, IT support, and building management relationships.
    • Organize logistics for deliveries, events, and team activities.
  2. Executive Support:
    • Provide administrative, scheduling, and travel support to the Country Manager.
    • Handle confidential documents and maintain accurate office records.
    • Assist with internal communications and team coordination.
  3. Vendor & Contract Management:
    • Manage vendor relationships and service agreements.
    • Track office-related expenses, invoices, and contracts.
  4. Compliance & Onboarding:
    • Coordinate with HR on recruitment and onboarding activities.
    • Ensure office setup for new hires and assist with compliance-related documentation.
    • Maintain business permits, leases, and other regulatory records.
  5. Project Coordination & Business Support:
    • Collaborate with leadership on operational initiatives, office improvements, and special projects.
    • Contribute to process optimization and overall business efficiency.

Requirements :

  • At least 3 years of experience in office administration, executive assistance, operations, or similar roles.
  • Proven experience in managing vendors, office logistics, and administrative coordination.
  • Excellent English written and verbal communication skills.
  • Exceptional organizational and multitasking skills, with the ability to handle diverse responsibilities.
  • Proficient in Microsoft Office (Excel, Word, Outlook, PowerPoint) and other administrative tools.
  • Experience in supporting hiring processes, onboarding, or HR coordination is a plus.
  • Knowledge of local business compliance, office regulations, and record-keeping is advantageous but not essential.
  • Prior experience in a fast-paced, tech-driven, or international environment is highly desirable.
