Job Summary:
The HR and Admin Assistant provides comprehensive support to the Human Resources department, ensuring the effective management of HR operations. This role involves assisting in the acquisition, maintenance, and development of the workforce while ensuring a high quality of work life for all employees. The position plays a key role in executing HR strategies and activities, including payroll and timekeeping, recruitment, labor relations, and employee welfare programs.
Major Duties and Responsibilities:
Employee Inquiries: Serve as the first point of contact for employee inquiries related to clearance status, employment status, payroll and timekeeping, recruitment, and other HR-related concerns.
Recruitment & Selection: Manage end-to-end recruitment processes, including job postings, application processing, administering tests, conducting preliminary interviews, scheduling selection interviews, and preparing employment documentation.
Manpower Coordination: Collaborate with manpower agencies to fulfill workforce demands, ensuring that staffing requirements are met efficiently.
Payroll & Timekeeping: Perform payroll processing and timekeeping activities, ensuring accuracy and timeliness of payments.
Personnel Records Management: Maintain and update personnel files (201 files), ensuring accurate encoding of employee data into the HRIS system.
Reporting: Prepare regular and ad hoc reports on HR activities, employment data, and other metrics as required by management.
Employee Onboarding: Prepare orientation materials and conduct onboarding sessions for new employees to ensure a smooth transition into the company.
Uniform Inventory Management: Monitor inventory and manage the requisition process for company uniforms.
Benefits Administration: Administer employee benefits, including the processing and documentation of statutory benefits and company-provided perks.
Employee Welfare Programs: Assist in planning, organizing, and executing employee welfare programs and company-wide activities to foster a positive work environment.
Document Preparation: Prepare and issue employee-related documents, including certifications, clearances, and other required documentation.
Performance Appraisal & HR Programs: Support the administration of the performance appraisal system, job evaluation processes, salary and benefits reviews, and other HR programs.
HR Research: Conduct research on HR topics as directed by the HR Manager to support strategic initiatives and policy development.
Other Duties: Perform additional tasks and responsibilities as assigned by management to support the overall HR function.
Job Specifications:
· Educational Background: Bachelor's degree in Human Resource Management, Psychology, Political Science, Business Management, Business Administration, Behavioral Science, or a related field.
· Experience: At least one (1) year of experience as a Human Resources Assistant or in a similar role, with exposure to payroll, recruitment, and employee relations.
· Communication Skills: Strong proficiency in written and verbal communication, with the ability to articulate HR policies and procedures clearly.
· Technical Skills: Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and HRIS systems; familiarity with internet navigation and email communication.
· Problem-Solving Skills: Excellent decision-making and problem-solving abilities, with a proactive approach to addressing HR challenges.
· Organizational Skills: Highly organized with exceptional attention to detail, ensuring accuracy in all HR tasks and documentation.
· Work Ethic: Self-motivated, hardworking, and able to work independently with minimal supervision; demonstrates a strong work ethic and positive personal values.
· Interpersonal Skills: Strong interpersonal skills, with the ability to build and maintain positive relationships with employees at all levels of the organization.
