We are seeking a highly organized, proactive, and trustworthy Executive Assistant to provide comprehensive support to the Chief Executive Officer. This role involves managing schedules, coordinating communications, and assisting with both business and select personal-related tasks that contribute to the executive's overall efficiency and productivity. The ideal candidate demonstrates high emotional intelligence, discretion, and a strong sense of initiative.

Key Responsibilities:

  • Manage the CEO's calendar, including scheduling meetings, appointments, and engagements—both professional and occasional personal matters.
  • Coordinate logistics for internal and external meetings, ensuring all materials, venues, and participants are properly arranged.
  • Serve as a point of contact for inquiries regarding the CEO's schedule and availability.
  • Monitor and prioritize emails, calls, and messages, ensuring timely follow-ups and appropriate delegation.
  • Provide assistance with light personal coordination tasks such as:
  • Arranging refreshments or preparing coffee when needed.
  • Procuring items or overseeing simple errands that support the CEO's daily productivity.
  • Supporting the preparation and coordination of executive-hosted functions or private engagements.
  • Prepare reports, briefings, and presentations as requested.
  • Handle sensitive and confidential information with the utmost professionalism and discretion.
  • Act as a gatekeeper to optimize the executive's time and manage competing priorities effectively.

Qualifications:

  • Bachelor's degree in Business Administration, Office Management, Communications, or a related field.
  • Minimum of 1 year experience supporting C-level executives or in a similar administrative capacity.
  • Excellent organizational, time-management, and multitasking abilities.
  • Strong written and verbal communication skills.
  • Highly professional, reliable, and capable of maintaining confidentiality at all times.
  • Tech-savvy, with proficiency in Microsoft Office, Google Workspace, scheduling tools, and virtual meeting platforms.
  • Ability to anticipate needs, work independently, and handle fast-paced environments with poise.
