Duties and Responsibilities

Timekeeping Management

  • Monitor and validate daily employee attendance records for accuracy and completeness.
  • Ensure all clock-in/clock-out entries, overtime, undertime, and shift differential data are verified before payroll cut-off.
  • Investigate and resolve attendance discrepancies promptly to avoid payroll errors.
  • Maintain and update the timekeeping system; recommend and implement improvements to enhance accuracy and efficiency.

Payroll Processing

  • Manage end-to-end payroll preparation, computation, and disbursement for all employees.
  • Validate salary computations, deductions, allowances, incentives, and adjustments for accuracy.
  • Ensure timely and accurate release of salaries in accordance with company cut-offs and statutory deadlines.
  • Generate and distribute payslips to employees, ensuring secure and confidential delivery.
  • Prepare payroll summaries, variance reports, and reconciliation statements for finance and management review.
  • Maintain complete and accurate payroll-related documents and records for audit and compliance purposes.
  • Ensure strict confidentiality of all salary and employee compensation information.

Benefits Administration

  • Administer company-provided benefits such as HMO and Life insurance enrollment and allowances.
  • Process and monitor loan requests, reimbursements, and other benefit-related claims.
  • Work with the management for the annual benefits review and recommend updates based on industry benchmarks.
  • Coordinate with vendors (e.g., HMO, insurance providers) for enrollments, renewals, and claims.

Government Compliance

  • Ensure timely remittance of all statutory contributions (SSS, PhilHealth, Pag-IBIG) and taxes (BIR).
  • Prepare and file monthly, quarterly, and annual government reports and schedules.
  • Handle employee government loan applications and certifications.
  • Stay updated on legislative changes affecting payroll and benefits and adjust processes accordingly.

HRIS Maintenance

  • Maintain and update payroll, timekeeping, and compensation/benefits data in the HRIS until full system implementation is complete.
  • Ensure accuracy and consistency of payroll-related records (salary details, benefits enrollment, allowances, and deductions) across HRIS, payroll, and timekeeping systems.
  • Troubleshoot payroll- and benefits-related HRIS issues and coordinate with the vendor or IT for resolution.
  • Assist in data migration, testing, and configuration of payroll and benefits modules during the HRIS rollout phase.
  • Generate payroll- and benefits-specific reports from the HRIS for management and compliance use.
