Job Summary

We are seeking a highly organized and detail-oriented Operations Dispatcher & Administrative VA to support the daily operations of a growing business. This role combines scheduling, coordination, and customer service with administrative and AI-powered workflow optimization. The ideal candidate thrives in a fast-paced environment, communicates effectively, and leverages AI tools to enhance efficiency and streamline operations.

Key Responsibilities

  • Manage day-to-day operations, including scheduling, task coordination, and workflow oversight
  • Handle customer inquiries via phone, email, or chat, ensuring timely and professional responses
  • Organize and maintain customer records, appointments, and service requests in the CRM system
  • Provide general administrative support, including documentation, reporting, and data management
  • Monitor workflows and implement AI-powered tools to automate tasks and improve productivity
  • Ensure team members adhere to schedules and resolve issues or changes promptly
  • Maintain open communication between customers and internal teams to ensure seamless operations
  • Analyze operational data and prepare reports to identify trends and areas for improvement

Mandatory Skills

  • Native English speaker with excellent written and verbal communication skills
  • Proficiency in AI tools and software for process automation (experience with AI for operations is a plus)
  • Strong organizational and multitasking abilities to manage various tasks efficiently
  • Experience in scheduling, customer service, and administrative support
  • Self-motivated and capable of working independently in a remote environment
  • High attention to detail and consistency in following structured workflows
  • Proficient with CRM tools and communication platforms
