A. Pipeline & Lead Support
  • Assist in generating and managing the BD pipeline through lead research, initial screening, and tracking of outreach follow-ups.
  • Updates lead trackers daily with progress, status changes, and scheduled meetings.
  • Help prepare pre-meeting materials and basic pitch information for BD Specialists.
B. Administrative & Documentation Management (Primary Focus)

  • Manage contracts, MOAs, agreements, and all signature flows:

  • Client to internal signatories to archive

  • Ensure no documents are lost, duplicated, or incomplete

  • Review contracts for:

  • Accuracy of fees, inclusions, campaign timelines

  • Correct brand details, SKUs, deliverables, and payment terms
  • Track contract statuses, including pending signatures, pending revisions, or legal requirements.
  • Maintain a master file of all ongoing and completed agreements.
C. Billing, Collections & Budget Tracking
  • Prepare invoices and submit to clients on schedule.
  • Track collections, record amounts received, and update BD Specialist on balances or overdue payments.
  • Maintain an accurate budget & spend trackers per brand
  • Monitor deliverables tied to payments (e.g., first 50%, post-campaign %, or per milestone).
  • Flag discrepancies or potential leakage immediately.
D. Campaign Execution Support

  • Work with IMS/CS teams to track:

  • Creator deliverables

  • Posting schedules
  • Campaign completion within the 3-month rule
  • Coordinate client requirements or paperwork needed for campaign activation.
  • Prepare campaign folders, status documents, and post-campaign summaries as needed.
E. Client Relationship Support
  • Assist in day-to-day client communication for document requirements, invoicing, and follow-ups.
  • Maintain polite, professional communication when requesting signatures, approvals, and payments.
  • Ensure clients receive timely updates on deliverables and paperwork.
F. Reporting
  • Prepare internal BD reports (weekly, monthly) on leads, meetings, contracts status, and collections.
  • Support BD Specialists in data gathering for proposals or strategies.
G. Accuracy, Compliance & Attention to Detail
  • Ensure all trackers are updated DAILY, accurate, and aligned to Finance and CM/IMS teams.
  • Ensure ZERO errors in contract details, invoice amounts, brand names, SKUs, or campaign dates.

  • Protect the BD department from:

  • Wrong pricing

  • Wrong inclusions
  • Wrong signatories
  • Incorrect payment timelines
  • Verify ALL details before internal routing.
