We're seeking a detail-oriented Operations Coordinator with facilities management, facilities services, or property management experience to be the backbone of our operations. What You'll Be Doing
As the linchpin of our operations, you'll ensure smooth facility management so our teams can deliver outstanding service. Key responsibilities include:
- Facilities Coordination: Managing rosters, onboarding subcontractors, and tracking leave/extra hours for service teams.
- Process Optimization: Developing and refining operational plans, workflows, and site-specific task lists.
- Systems Management: Maintaining facilities software (CleanSmarts, HubSpot, Xero) with meticulous data accuracy.
- Logistics & Admin: Ordering and tracking equipment/supplies, setting up new client sites, and managing registers (keys, uniforms, etc.).
- Facility Support: Handling lift/curtain service requests, missed bin reports, and preparing client reports (iAuditor, monthly updates).
- Stakeholder Communication: Serving as the go-between for clients and teams via email, chat, and meetings to ensure seamless operations.

Working Hours:

- You must be able to reliably work according to the Australian (Sydney) timezone (6am to 3pm Phil Time).
