Position Summary
The Documentation Officer is responsible for managing and processing Recognition of Prior
Learning (RPL) applications with accuracy and efficiency. This role involves reviewing applicant
documents, verifying information with referees, updating records in the Student Management
System (SMS), and supporting the issuance of certificates and completion letters. The position
requires attention to detail, strong communication skills, and the ability to handle sensitive
information in a professional manner.
Key Duties and Responsibilities
- Document Management
• Ensure all required documents are received in line with the checklist.
• Review and verify applicant documents for completeness, accuracy, and compliance.
• Cross-check third-party reports signed by referees (if applicable).
• Update RPL kits with relevant applicant information.
• Maintain and update the master file with details from applicant communications.
• Accurately update the Student Management System (SMS) with applicant data.
- Communication & Coordination
• Liaise with applicants to verify details, clarify missing information, and determine
qualification purpose.
• Gather additional information from clients as required.
• Email applicants with RPL details, including the process and expected timeframes.
• Conduct verification calls or emails to referees to confirm provided details.
- Certification & Completion Support
• Assist in issuing certificates upon completion of the process.
• Assist in preparing and finalising completion letters.
Key Skills and Attributes
• Strong attention to detail and accuracy in data handling.
• Excellent written and verbal communication skills.
• Ability to work independently while managing multiple tasks and deadlines.
• Proficient in using Student Management Systems (SMS) and Microsoft Office Suite.
• Understanding of RPL processes and compliance requirements (desirable)
Preferred Requirements:
- Experience working in Australian colleges, schools, or universities.
- Knowledge of the Australian education system.
- Previous experience with an education agency (student placements, visa processing, etc.).
- Background in international student recruitment.
