DUTIES AND RESPONSIBILITIES: Lead Accountant
Reports to: COO, CFO
Location: Subic Bay Freeport Zone
When COO is in town, Finback Office
When COO is out of town, Cubi Office
Report to office 5 days per week
Work From Home 1 day per week
Onsite visits to each location when needed
Job Summary:
The Lead Accountant is a key leader in the finance department, responsible for ensuring the accuracy and integrity of all financial reporting. This person will create all necessary financial documents and projections while also acting as an internal auditor to ensure all transactions and reports from each location meet company standards.
Duties and Responsibilities:
I. Daily & Transactional Accounting:
- Verify and record all financial transactions accurately, including revenues, expenses, and inter-company transfers.
- Manage Accounts Receivable (AR), including invoicing guests/clients, monitoring payments, and following up on outstanding balances.
- Ensure all income streams are accurately accounted for and allocated to the correct entities.
II. Property-Specific Accounting & Reporting:
- Maintain separate and distinct financial records for each individual location
- Generate property-specific revenue and expense reports as required.
- Assist in tracking occupancy rates, average daily rates (ADR), and other key performance indicators (KPIs) per property.
III. General Ledger & Reconciliation:
- Perform regular bank reconciliations for all company bank accounts.
- Maintain and reconcile general ledger accounts, ensuring accuracy and completeness.
- Process journal entries as needed to ensure all financial activities are properly recorded.
- Reconcile daily cash and credit card transactions across all properties.
- Work with the Finance and Inventory Officer to ensure all financial data is accurately and completely captured in the general ledger.
IV. Financial Reporting & Analysis:
- Create and maintain accurate monthly, quarterly, and annual financial reports, including income statements (P&L), balance sheets, and cash flow statements for all locations.
- Develop financial projections and forecasts to support business planning and strategic decisions.
- Generate detailed financial documents and memos to communicate key financial insights to management.
- Generate consolidated financial reports that combine data from all locations.
- Assist in preparing budgets and forecasts for properties and overall operations.
- Flag any significant variances or discrepancies in financial data for review.
V. Compliance & Documentation:
- Ensure all financial transactions comply with company policies and relevant accounting standards.
- Maintain an organized and accessible filing system for all financial documents (invoices, receipts, bank statements, contracts).
- Assist in gathering documentation and preparing for external audits or tax filings as required.
VI. Coordination & Communication:
- Liaise directly with Location Managers and supervisors to address reporting discrepancies and provide guidance on financial procedures.
- Communicate clearly and effectively with the COO and CFO regarding all financial matters.
- Collaborate with the Finance and Inventory Officer to ensure a seamless flow of data from expenses and vendor payments to the general ledger.
VII. Schedule-specific tasks:
- Every 7th of the month
- Upload Owner Statements xls and pdf files
- Send monthly P+L reports for all locations
- Every 10th of the month
- Transfer earnings to Baia Nest (Direct bookings minus any Direct bookings paid directly to Baia account)
- Transfer earnings to Hillside Nest - Allan Dy (Direct bookings and Booking Dot Com bookings)
- Transfer taxes from TNBTS main to each location's tax accounts
- Every 11th of the month: Meet with COO/CFO
- Every 10th of January: Submission of summarized data for Year End Reports
- Every Feb 1st: Submission of documents for ITR
Job Types: Full-time, Permanent
