The Recruitment Assistant plays a key role in sourcing, engaging, and shortlisting top-tier candidates to support active recruitment projects.

This position focuses on proactive headhunting, pipeline management, and lead generation to ensure a steady flow of qualified candidates and successful placements. Working closely with the Managing Director, the ideal candidate is organized, confident, and results-driven, thriving in a collaborative, fast-paced remote environment that values initiative, communication, and continuous improvement.

JOB DESCRIPTION / RESPONSIBILITIES:

Candidate Sourcing & Engagement

  • Source quality candidates using LinkedIn Recruiter, SEEK Talent Search, Loxo, and job boards.
  • Interpret job briefs to identify key selection criteria and build accurate sourcing strategies.
  • Conduct daily outreach and headhunting to engage both active and passive candidates.
  • Communicate professionally on behalf of the client via calls, messages, and emails.
  • Manage candidate data, notes, and progress updates within Loxo (ATS).
  • Task tracking and KPI reporting via ATS dashboards and shared documents.

Recruitment Operations & Administration

  • Screen CVs and applications to shortlist candidates aligned with client briefs.
  • Write, post, and manage job advertisements across relevant platforms.
  • Assist with background checks, compliance, and placement documentation.
  • Track and report outreach, call activity, and book interviews daily.
  • Provide weekly progress reports on sourcing metrics, conversions, and candidate pipeline.
  • Daily 15-minute morning huddles and end-of-day email summaries with the Managing Director.
  • Weekly check-ins and ongoing performance feedback.

Market Research & Process Improvement

  • Conduct weekly market research to identify new leads, employers, and job opportunities.
  • Generate weekly insights and lead reports for strategic recruitment initiatives.
  • Identify workflow gaps and suggest improvements to recruitment systems and processes.

BASIC QUALIFICATIONS:

  • Minimum 2 years of experience in recruitment support, resourcing, or sourcing (agency experience preferred).
  • Proven experience in head-hunting and candidate outreach with confidence in engaging passive candidates.
  • Proficient in LinkedIn Recruiter, SEEK Talent Search, Google Suite, and Loxo; familiarity with Loom preferred.
  • Strong verbal and written communication skills with a professional phone manner.
  • Excellent organizational skills, attention to detail, and follow-through on tasks.
  • Tech-savvy, analytical, and comfortable learning new recruitment tools and systems.
  • Proactive, resilient, and results-driven, with the ability to work independently in a remote environment.
