Overview
We are seeking a highly organized and detail-oriented Virtual Assistant to oversee full-cycle property and tenant management operations for an apartment rental business. This role involves managing tenant communications, leasing tasks, maintenance coordination, rent collection, and ensuring compliance with Florida landlord–tenant laws. The ideal candidate has property management experience, strong communication skills, and proficiency in using tools like DoorLoop, Google Voice, and Google Drive/Sheets.
Job Highlights
Monthly Rate: Php 40,000-42,000
Number of Paid Hours Per Week: 40 hours
Work Arrangement: Work from home
Contract: Independent Contractor
Side Note: Since this is a permanent work-from-home position and the arrangement is that of an "Independent Contractor," the selected candidates must have their own computer and internet connection. They will handle their own benefits and taxes. The professional fees are on hourly rates and depend on your performance in the application process.
Responsibilities
Tenant Communications
- Answer phone calls via Google Voice, return voicemails, and respond to texts/emails promptly.
- Provide rental application links, screen applications, and coordinate approvals or denials.
- Schedule and confirm apartment showings and lease signings.
- Maintain a professional, responsive, and supportive tenant experience.
Leasing Management
- Track lease renewals, expirations, and move-outs in DoorLoop.
- Provide clear move-in and move-out instructions to tenants.
- Ensure security deposits are tracked and reconciled in compliance with Florida law.
Rent Collection & Compliance
- Monitor digital rent payments in DoorLoop and ensure timely submission.
- Confirm accuracy of late fees auto-populated in DoorLoop.
- Follow up on late or missed payments; arrange payment plans when approved.
- Prepare and send 3-day notices to pay or vacate per Florida statutes.
- Maintain accurate rent ledgers and provide daily ownership updates.
Maintenance Coordination
- Process maintenance requests in DoorLoop.
- Assign contractors, obtain quotes, and approve work within budget.
- Schedule repairs with tenants and issue entry notices as needed.
- Maintain detailed repair logs and maintenance histories in Google Sheets.
- Oversee preventive maintenance (AC filters, pest control, inspections).
Administrative Operations
- Maintain tenant and contractor records in DoorLoop and Google Drive.
- Track rent collection, expenses, and maintenance logs in Google Sheets.
- Prepare and send daily reports summarizing rent, maintenance, and tenant issues.
Compliance Oversight
- Ensure all leases, notices, and legal documents comply with Florida landlord–tenant laws.
- Escalate legal or complex issues to ownership or legal counsel.
Requirements
- Proven experience in property management or tenant coordination.
- Familiarity with or ability to quickly learn Florida landlord–tenant laws (communication, notices, deposits, evictions).
- Proficiency in DoorLoop, Google Voice, and Google Drive/Sheets.
- Excellent written and spoken English communication skills.
- Strong organizational, multitasking, and recordkeeping skills.
- Detail-oriented and proactive with follow-through.
- Reliable internet connection and availability during business hours.
