Job description:
Ideal candidates are organized, professional, and have a can-do attitude. Must be able to communicate clearly with other team members both verbally and in writing. Duties include, but not limited to: answering phone calls, retrieve phone messages and relay to proper team member via email, scan invoices, data entry and processing, update electronic files, prepare form letters, assist GM as needed, assist property managers in processing new applicants, general clerical support as well as general support of property managers. Experience in AppFolio property management software.
Responsibilities
- Auditing which properties require updated insurance documentation and reminding owners to send proof of insurance.
- Creating, monitoring, following up, and closing out work orders.
- Send property notices to tenants about pest control, landscaping, tree trimming, etc.
- Reminding property owners to file for property tax exemption on any lease 12 months or longer, and assisting them in gathering the documentation they will need when applying.
- Assisting PMs with staying on top of lease renewals, property inspections, move-out instructions, etc.
- Auditing which properties require updated insurance documentation and reminding owners to send proof of insurance.
- Checking on unsigned rental agreements and sending reminders to guests to sign them. Additionally, emailing the reservation team to call any guest arriving within 2 weeks with an unsigned contract.
- Run outstanding balance report every day and follow up on payments overdue.
- Check on VRBO renewals daily for properties needing a new annual subscription
- Audit that check-in instructions have been sent to all arrivals for that day, done daily.
- Audit new units that went live that week, ensuring all info is correct and nothing is missed.
- Audit occupancy- email the manager any units/properties with low occupancy/red flags.
- Tape Chart audit- combine b2b owner reservations to reflect as 1 stay, remove any blocks that shouldn't be there (example: early check-in/late checkout not removed when booking is cancelled).
- Audit reservations on a daily basis (i.e, minimum night stay requirement, rates, fees feeding over correctly, notifying AOAO, etc.
Qualifications:
- Bachelor's Degree in Business, Communications, or any related course.
- With 3 to 5 years of proven experience as a Property Management Accountant or similar role.
- Has experience working with US/International clients in the Real Estate Industry.
- Knowledge of AppFolio property management software is a huge plus.
- Strong communication skills, both verbal and written, are essential.
- Strong foundation in administrative tasks, including email management, calendar scheduling, and document preparation.
- Proficiency in using productivity tools like Microsoft Office Suite (Word, Excel, PowerPoint, Outlook), Google Workspace, and project management tools.
- Excellent organizational skills, attention to detail, and the ability to multitask.
- Good interpersonal skills - Maintain professionalism in all interactions and communications
- Good with night shift schedule
