Job Description

As a Property Management Admin, you will support tenancy onboarding, mid-term inspections, compliance tracking, and day-to-day coordination for a managed property portfolio. You'll assist the Senior Property Management team, maintain accurate tenancy records, and ensure seamless processes across all stages of the tenancy lifecycle.

Employment Type: Full-Time

Shift: Mid Shift, M-F, 8 AM-5 PM UKT / 4 PM-1 AM PHT, Weekends Off

Work Setup: Permanent WFH

The Qualifications We Seek

Technology and Systems

  • 2 to 3 years' relevant experience using a property management or CRM-style system preferred
  • Confident using multiple applications and software platforms
  • Comfortable learning new digital tools

Skills and Attributes

  • Flexible with work schedules
  • Excellent written and verbal communication skills
  • Confident managing calls and emails with tenants and service providers
  • Strong organizational and administrative abilities
  • High attention to detail and proactive approach
  • Friendly, professional, and collaborative team player

Your Daily Tasks

Tenancy Onboarding

  • Assist with preparing tenancy documentation and creating tenancy agreements
  • Ensure compliance requirements are met (Gas Safety, EICR, EPC, Right to Rent, etc.)
  • Update onboarding information and data on the integrated CRM system
  • Coordinate check-ins, inventories, and key collections

Day-to-Day Property Management

  • Support the Senior Property Management team in daily administration
  • Communicate with tenants and suppliers via phone and email

Mid-Term Inspections

  • Schedule and organize mid-term property inspections
  • Review inspection reports and flag issues requiring follow-up
  • Arrange maintenance repairs when necessary

End-of-Tenancy / Offboarding

  • Assist with check-outs and ensure documentation is complete and saved in the CRM

Compliance and Administration

  • Maintain compliance records for all managed properties
  • Ensure safety certificates and legal documentation are valid and stored correctly

Training and Development

  • Duties will rotate based on team needs
  • Full training provided on tenancy management, compliance, and admin processes
  • Responsibilities will expand depending on performance and progress
