Role Overview

We are looking for a detail-oriented, organized, and proactive Operations and HR Coordinator to support both our Logistics and Advisory divisions. This role combines operations scheduling, HR administration, payroll coordination, invoicing support, and CRM updates.

Youll be working closely with our Australian Operations Manager and Executive Assistant, using tools such as Connecteam, Xero, and HubSpot to keep workflows smooth, compliant, and accurate.

This is an onsite role within Offsures office in Clark.

Key Responsibilities

Operations & Logistics Support

  • Coordinate logistics bookings, transport scheduling, and freight arrangements
  • Update and track job schedules in Connecteam
  • Support the Australian team with adjustments, updates, and reporting

HR Administration

  • Manage onboarding, document collection, and orientation for AU and PH staff
  • Maintain compliance records, certificates, and employee documentation
  • Ensure alignment with Philippine labor laws and Australian company requirements

Payroll & Finance

  • Process Philippine and Australian payroll accurately and on schedule
  • Ensure compliance with both AU and PH tax and payroll regulations
  • Support Xero tasks: invoicing, reconciliation, and financial reporting

CRM & Data Management

  • Update and maintain records in HubSpot
  • Ensure accuracy and organization of all customer and project data

General Administrative Support

  • Assist the Executive Assistant and Compliance Manager with admin tasks
  • Provide operational support across both divisions
  • Contribute to improvements that streamline cross-border operations

Qualifications & Skills

Required

  • Minimum years experience in HR, operations coordination, or administrative roles
  • Proven experience handling HR for both Philippines and Australia
    (onboarding, compliance, payroll)
  • Proficiency in Connecteam, Xero, and HubSpot (or similar tools)
  • Strong English communication skillswritten and verbal
  • Excellent organizational and time-management abilities
  • Willing to work onsite in Clark and adjust to AEST hours when needed

Preferred

  • Experience in logistics, transport, or the renewable energy sector
  • Diploma or certification in HR, Business Administration, or related fields
  • Familiarity with compliance requirements for technical or transport industries
