Job Summary
The Sales Operations Support Lead oversees and optimizes the administrative processes that support residential property sales. This role manages documentation, monitors transactions, maintains CRM records, and collaborates with various departments to ensure sales information and reports are accurate, timely, and compliant with internal policies and regulatory standards.
Key Responsibilities
Sales Documentation & Administration
- Lead the team in processing reservation forms, contracts, and booking documents.
- Review and organize sales files according to company and government requirements.
- Manage the release of sales documents (e.g., Reservation Agreements, CTS, DOAS) and handle requests for cancellations or reactivations.
Data Management & Reporting
- Ensure accurate encoding and monitoring of sales information within CRM/ERP systems.
- Validate pricing, unit availability, and status changes.
- Prepare and analyze routine sales reports and performance dashboards.
Process Improvement & Compliance
- Improve sales support processes to enhance workflow efficiency.
- Ensure compliance with regulatory and internal requirements (HLURB/DHSUD, BIR, etc.).
- Conduct audits to ensure data accuracy and compliance with standards.
Cross-Functional Coordination
- Act as the main liaison between Sales, Marketing, Finance, Customer Relations, Documentation, and Technical teams.
- Support sales events, project launches, and broker-related activities.
- Resolve documentation and system-related issues.
Team Leadership
- Coach and mentor the Sales Operations Support team to meet service, accuracy, and compliance goals.
- Monitor team performance and provide training to boost productivity and quality.
Qualifications
- Bachelor's degree in Business, Marketing, Real Estate, or a related field
- 3–5 years of experience in sales operations or administrative support (real estate experience is an advantage)
- Minimum of 2 years in a supervisory or team leader capacity
- Strong organizational, analytical, and documentation skills
- Proficient in MS Office and CRM/ERP systems
- Knowledge of real estate sales processes and compliance guidelines
- Strong communication and coordination abilities
- Willing to travel or relocate; can start immediately
