Job Summary

The Sales Operations Support Lead oversees and improves the administrative processes behind residential real estate sales. This role manages documentation flow, monitors transactions, maintains CRM data, and works with various departments to ensure all sales records and reports are accurate, timely, and compliant with company and regulatory standards.

Key Responsibilities

Sales Administration

  • Lead the Sales Operations Support team in handling reservation forms, booking documents, and sales contracts.
  • Review, record, and file sales documents in line with internal and government requirements.
  • Oversee approval, release, and distribution of key documents (Reservation Agreements, CTS, DOAS).
  • Manage requests for cancellations, transfers, and reactivations.

Sales Data & Reporting

  • Ensure accurate data encoding and maintenance across CRM, ERP, and sales tracking systems.
  • Verify unit availability, pricing, and sales status updates.
  • Prepare and analyze routine sales performance reports and dashboards.

Process Improvement & Compliance

  • Identify ways to streamline sales support workflows.
  • Ensure compliance with company policies and real estate regulations (HLURB/DHSUD, BIR, etc.).
  • Conduct regular audits to maintain data accuracy and integrity.

Coordination & Communication

  • Act as the main liaison among Sales, Marketing, Documentation, Finance, Customer Relations, and Technical teams.
  • Support sales-related activities such as events, launches, and broker briefings.
  • Resolve documentation and system-related issues promptly.

Team Leadership

  • Lead and develop the Sales Operations Support team to meet operational goals.
  • Monitor performance and ensure team targets are met.
  • Provide coaching and training to improve accuracy, efficiency, and compliance.

Qualifications

  • Bachelor's degree in Business, Marketing, Real Estate Management, or related field
  • 3–5 years of experience in sales operations or admin support (real estate preferred)
  • Minimum 2 years of supervisory or team lead experience
  • Strong attention to detail with excellent analytical and organizational skills
  • Proficient in MS Office and CRM/ERP systems
  • Knowledge of real estate sales processes and compliance requirements
  • Strong communication, coordination, and leadership abilities
  • Responsible, detail-oriented, and willing to travel or relocate
  • Can start immediately
