Job Summary:
The Lead for Sales Operations Support is responsible for overseeing the end-to-end administrative processes that support residential real estate sales operations. This includes managing the documentation flow, monitoring sales transactions, ensuring data accuracy in CRM systems, coordinating with internal departments, and providing administrative and operational support to sales teams. The role ensures that all sales documentation, approvals, and reports are completed accurately, timely, and in compliance with company policies and regulatory requirements.
Key Responsibilities:
Sales Administration Oversight
- Supervise and guide the Sales Operations Support team in handling reservation forms, booking documents, buyer information sheets, and contracts.
- Ensure proper validation, encoding, and filing of all sales documents in line with company and regulatory standards.
- Coordinate the approval and release of sales documents (Reservation Agreements, CTS, DOAS, etc.).
- Monitor the timely processing of cancellations, transfers, reactivations, and other sales-related requests.
Sales Data Management
- Oversee accurate and timely encoding of sales data in CRM, ERP, and sales monitoring systems.
- Validate unit availability, pricing, and sales status to ensure system accuracy.
- Prepare and review daily, weekly, and monthly sales performance reports and dashboards for management.
Process Improvement and Compliance
- Recommend and implement process improvements to increase operational efficiency.
- Ensure compliance with company policies, data privacy laws, and real estate regulatory requirements (HLURB/DHSUD, BIR, etc.).
- Conduct regular internal audits of sales documentation and system entries.
Coordination and Communication
- Serve as liaison between Sales, Marketing, Documentation, Finance, Customer Relations, and Technical departments.
- Provide administrative support to sales events, broker briefings, and project launches.
- Handle escalations from internal and external clients regarding sales documentation or system issues.
Team Leadership and Development
- Supervise and mentor a team of sales operations support staff.
- Monitor team performance and ensure alignment with departmental goals.
- Conduct training and coaching sessions to maintain high service and compliance standards.
Qualifications:
- Graduate of Bachelor's degree in Business Administration, Management, Marketing, Real Estate Management, or related field.
- With at least 3–5 years of experience in sales operations, documentation, or administrative support, preferably in real estate development or property management.
- At least 2–3 years in a supervisory or team leader capacity.
- Good financial and analytical skills
- Strong organizational and documentation skills
- Adept in preparing reports
- Excellent communication and coordination abilities
- Proficiency in MS Office and CRM/ERP systems
- Knowledge of real estate sales processes, documentation flow, and regulatory compliance
- Attention to detail and high sense of responsibility
- Leadership and people management skills
- Willing to travel and be relocated if needed.
