Sales Operations Supervisor

Job Summary:
The Sales Operations Support Supervisor is responsible for managing the end-to-end administrative processes of residential real estate sales. This role ensures that all documentation, transactions, and records are accurate, properly tracked, and compliant with both company and regulatory standards. The position also involves supervising the operations team, coordinating with internal departments, and maintaining up-to-date CRM data and reports.
Main Responsibilities:
Sales Administration
- Oversee the Sales Operations Support team in preparing and managing reservation forms, booking documents, and sales contracts.
- Review, encode, and organize all sales documentation to ensure accuracy and compliance with company and government regulations.
- Facilitate the approval and release of sales-related documents such as Reservation Agreements, Contracts to Sell (CTS), and Deeds of Absolute Sale (DOAS).
- Monitor and process client requests for cancellations, transfers, and reactivations in a timely manner.
Sales Data Management & Reporting
- Supervise accurate data entry and maintenance in CRM, ERP, and other monitoring systems.
- Validate unit availability, pricing details, and sales status updates.
- Generate and analyze daily, weekly, and monthly sales performance reports and dashboards.
Process Improvement & Compliance
- Identify opportunities to streamline sales processes and enhance operational efficiency.
- Ensure adherence to company policies and real estate industry regulations (HLURB/DHSUD, BIR, etc.).
- Conduct regular audits of sales data and documentation to maintain integrity and compliance.
Coordination & Communication
- Serve as the primary liaison between Sales, Marketing, Documentation, Finance, Customer Relations, and Technical departments.
- Provide logistical and administrative support during project launches, sales events, and broker activities.
- Address and resolve escalated concerns related to sales documentation or system issues.
Team Leadership
- Lead, mentor, and develop the Sales Operations Support team to achieve performance objectives.
- Monitor productivity and ensure alignment with organizational goals.
- Conduct coaching sessions and training to strengthen team efficiency and compliance awareness.
Qualifications:
- Bachelor's degree in Business Administration, Marketing, Real Estate Management, or any related course
- 3–5 years of experience in sales operations or administrative support, preferably in the real estate industry
- 2–3 years of experience in a supervisory or team lead role
- Strong skills in organization, documentation, and data management
- Proficient in Microsoft Office and CRM/ERP systems
- Familiar with real estate sales processes and regulatory compliance requirements
- Excellent communication, coordination, and leadership abilities
- Detail-oriented, proactive, and willing to travel or relocate when necessary
- Can start immediately
