Sales Coordinator

Job Summary:
The Sales Coordinator supports the Broker Management Team Head in supervising the broker sales network and executing approved sales and marketing initiatives. The role involves coordinating with brokers, providing sales updates through various communication channels, and handling administrative tasks such as safekeeping accreditation records, preparing sales reports, transmitting buyer documents, and managing marketing materials.
Key Responsibilities
Broker Recruitment & Accreditation
- Assist in recruiting and reactivating brokers by preparing accreditation requirements and conducting initial interviews for prospective partners.
- Ensure newly accredited brokers attend training sessions and orientation activities, including PKS, Selling Techniques, and Documentation seminars (both in-person and online).
- Coordinate with the Training and Recruitment Team regarding training schedules, attendance, and ID processing.
- Work with Accounting to endorse accreditation documents necessary for commission processing and release.
Communication & Coordination
- Administer the Brokers Management Facebook page and Messenger account—responding to inquiries, posting updates, and sharing promotional materials, events, and advisories.
- Create and manage Facebook group chats with accredited brokers and their sellers for daily dissemination of updates, including promos, inventory lists, price computations, and memoranda.
- Provide regular updates to brokers about available units, pricing, incentives, and scheduled activities.
- Encourage participation in online and onsite events such as virtual meetings, assemblies, and sales training sessions.
- Communicate new policies, guidelines, and memos via calls, emails, text messages, and social media posts.
Field Support & Sales Activities
- Conduct regular visits to premier and classic brokers' offices to monitor activities and strengthen relationships.
- Participate in weekly or monthly broker meetings with their respective sellers.
- Coordinate and route broker and buyer requests to the appropriate departments regarding unit transfers, financing changes, move-ins, or commission concerns.
- Help plan and assign brokers to selling activities such as site manning, mall exhibits, and saturation drives.
- Monitor implementation of approved selling activities and prepare post-activity reports.
Event & Program Assistance
- Support the Broker Management Team in organizing and executing events such as:
- Face-to-face and virtual meetings
- Project briefings, seminars, and training programs
- Site visits and orientations
- Motorcades, caravans, and weekend site reservations
- Open houses and project launchings
- General assemblies, recognitions, housing fairs, and other marketing activities
Administrative & Reporting Functions
- Facilitate broker requests for sales and marketing materials, including ads, brochures, flyers, tarpaulins, price lists, maps, AVPs, and other digital or printed collaterals.
- Address inquiries from brokers and their clients, ensuring prompt coordination with concerned departments.
- Prepare monthly broker sales performance reports to support management decisions and commission processing.
- Compile and screen qualifiers for semi-annual and annual promos or incentive programs.
- Compute and process broker and seller commission overrides on a weekly and monthly basis.
- Perform other related sales and marketing duties as assigned.
Qualifications
- Bachelor's degree in Business Administration, Marketing, Real Estate Management, or any related field
- 1–2 years of experience in sales coordination, administrative work, or a similar support role (real estate experience preferred)
- Proficient in Microsoft Office (Word, Excel, PowerPoint, Outlook)
- Strong organizational and time management abilities
- Excellent written and verbal communication skills
- Detail-oriented, proactive, and capable of working with minimal supervision
- Willing to travel or be assigned to project sites when required
