Job Description

As an HR Operations Specialist - Onboarding, you'll coordinate all aspects of the new hire journey-from pre-employment requirements to post-hire integration. You'll serve as the primary contact for new employees, ensuring a smooth, engaging, and compliant onboarding experience that reflects excellence at every step.

The Qualifications We Seek

Education:

  • Bachelor's degree in Human Resources, Business Administration, Psychology, or a related field.

Experience:

  • Minimum of 2 years of experience in HR operations, onboarding, or employee services.

Knowledge and Skills:

  • Strong understanding of HR processes including onboarding, timekeeping, and employee relations.
  • Excellent organizational and administrative skills with high attention to detail.
  • Proficiency in MS Excel and familiarity with HRIS, case management, or ticketing systems.
  • Strong customer service orientation, with empathy and professionalism.
  • Excellent written and verbal communication skills in English.
  • Ability to manage multiple onboarding cases in a fast-paced environment.
  • Resourceful, with strong problem-solving and decision-making skills.
  • High level of integrity, confidentiality, and accountability.

Your Daily Tasks

Onboarding Process and Coordination:

  • Coordinate pre-employment requirements, reference/background checks, medical exams, and document submissions.
  • Manage and track onboarding cases and inquiries using HR systems and tools.
  • Collaborate with HR, Payroll, IT, Facilities, and other teams to ensure readiness for new hires.
  • Handle Tier 1 & 2 onboarding-related queries, escalating complex matters while maintaining ownership until closure.
  • Monitor onboarding progress and proactively follow up on pending items.

Documentation & Compliance:

  • Ensure timely completion of new hire documentation, contracts, and benefits enrollment.
  • Maintain accuracy and confidentiality of employee data per compliance and security standards.

Employee Experience & Support:

  • Serve as the primary contact for new hires during onboarding.
  • Provide clear communication and guidance regarding company policies, timelines, and processes.
  • Ensure a positive onboarding experience marked by empathy, professionalism, and efficiency.

Reporting & Continuous Improvement:

  • Identify challenges in onboarding tools or systems and propose process enhancements.
  • Participate in HR initiatives, training sessions, and best-practice sharing.

Other Responsibilities:

  • Perform administrative or non-administrative duties as assigned by company representatives, through written or verbal instructions.
