About the Job
We are seeking a detail-oriented and proactive Onboarding Support Specialist to assist in efficiently guiding clinicians through our onboarding process. This remote role plays a critical part in ensuring a smooth, timely, and professional onboarding experience by managing tasks, sending communications, and using templates and tools to drive completion of onboarding steps.
The ideal candidate is a strong communicator and highly organized, comfortable working independently and learning quickly in a fast-paced, remote environment. You will serve as the operational backbone of the onboarding pipeline — ensuring that clinicians complete all required tasks and documentation quickly and accurately.
Key Responsibilities:- Manage and monitor clinician onboarding checklists and timelines, often without prompts; keep track of each onboarding clinician assigned through high-volume hiring hires at a time)
- Send structured communications via email, SMS messaging, and phone calls to guide clinicians through each onboarding stage (e.g., background checks, credentialing, documentation, Form I-9).
- Follow up consistently with clinicians to ensure timely completion of tasks; ensure each onboarding clinician is aware of outstanding tasks to complete
- Manage start dates for onboarding clinicians, ensure each clinician has completed all tasks by the defined deadline for their start date; once trained on best practices, use critical thinking skills to adjust start dates as needed
- Track onboarding progress using internal tools (e.g., applicant tracking systems, spreadsheets, or onboarding software); updates will need to be made promptly in multiple systems
- Escalate delays or issues to appropriate internal stakeholders (e.g., recruiting, credentialing, HRIS)
- Maintain detailed and accurate records of communication and onboarding status across systems (Workday, ticketing software, )
- Continuously improve template content and workflows for clarity and efficiency, especially as processes change and adapt to evolving business needs
- Provide high-touch support to clinicians as needed, including answering basic questions and directing them to appropriate contacts; follow up with onboarding clinicians on a set cadence
- Enter updates to employment data in systems, as needed (changes in start date, location, manager, etc.)
- Facilitate "meet & greet" video calls with onboarding clinicians and their new managers to welcome them to Thriveworks and set expectations
- Contact onboarding workers using phone, text, and email communication tools: Google Workspace (Docs, Sheets, Gmail), RingCentral phone, TextUs SMS messaging, and task tracking system
- Experienced in US employment verification for Form I-9s, E-Verify, and standard criminal background checks
- 3-5 years of administrative, onboarding, HR support, or customer service experience (remote experience preferred)
- Excellent written and verbal English communication skills
- High attention to detail and strong organizational skills; self-audit throughout to ensure high-quality data, communications, and documentation
- Able to work independently and manage time across multiple time zones; problem solver and critical thinker
- Reliable internet connection and a quiet working environment
- Experience supporting onboarding or HR operations in a healthcare or clinical setting
- Familiarity with US employment laws
- Experience verifying employment eligibility (Form I-9 and E-Verify)
- Familiarity with applicant tracking systems or onboarding tools (e.g., Workday, BambooHR, etc.).
- Experience working in a U.S.-based business or with U.S. compliance requirements (HIPAA, credentialing, etc.).
