Job Overview:
We're looking for a proactive, detail-oriented, and organized Administrative Assistant to support leadership with day-to-day operations and light business development activities. This role is ideal for someone who enjoys taking ownership of tasks, thrives in a fast-paced environment, and is motivated by contributing to both efficiency and growth. You'll be managing executive-level administrative tasks while also assisting with outreach campaigns and lead generation.
Key Responsibilities:
Administrative Support (80%)
- Calendar Management: Manage leadership's calendar, schedule internal and external meetings, and proactively block time for priorities.
- Meeting Support: Draft agendas, take notes, and coordinate follow-ups to keep projects moving.
- Document & Task Management: Prepare, edit, and organize documents, files, and records.
- Communication: Draft emails, assist with light travel planning, and provide day-to-day executive assistance.
- Problem-Solving: Identify potential scheduling conflicts or deadlines and propose solutions early.
- Ad Hoc Projects: Support leadership with special requests, research, or coordination tasks as needed.
Business Development Support (20%)
- Campaign Setup: Access LinkedIn profiles via Talin CRM, extract emails using Apollo, and add contacts into email sequences.
- Outreach Management: Send scheduled LinkedIn and email messages, monitor responses, and flag urgent items for leadership.
- Lead Generation & Appointment Setting: Track outreach activity, qualify responses, and book calls directly into the Team Lead's calendar.
- Reporting: Prepare daily end-of-day summaries and weekly reports on outreach, responses, and meetings booked.
- CRM & Data Management: Maintain organized and accurate records of leads, contacts, and communication history.
Qualifications:
- Proven experience as an Administrative Assistant, Executive Assistant, or in a similar role.
- Strong organizational and time management skills with a detail-oriented approach.
- Proficiency with Google Workspace; CRM or outreach tool experience (Talin, Apollo, HubSpot, etc.) is a plus.
- Excellent written and verbal communication—professional, clear, and concise.
- Proactive self-starter who takes initiative, solves problems, and communicates directly.
- Comfortable managing structured checklists while also bringing fresh ideas to improve processes.
- Positive, motivated, and collaborative personality—you thrive in supporting leadership while contributing to team growth.
