About the Role

We are seeking a proactive, detail-oriented, and enthusiastic Administrative Assistant to join our client's growing team in Victoria. The client operates within the construction industry, and the ideal candidate will provide comprehensive administrative and operational support across the business, ensuring smooth day-to-day operations. This role requires someone who is organized, friendly, and capable of working autonomously while maintaining a high level of professionalism and communication.

Key Responsibilities

  • Provide general administrative support across the business, including email and calendar management, scheduling, and appointment coordination.
  • Maintain organized digital records and documents using Microsoft Office Suite and Dropbox.
  • Handle basic bookkeeping tasks using QuickBooks, such as creating and sending invoices, processing payments, and reconciling minor transactions.
  • Prepare and maintain accurate records, reports, and business documentation to ensure timely and precise information management.
  • Assist in setting up standardized templates and forms (e.g., Occupational Health & Safety, client documentation, project templates).
  • Support communication and correspondence management between internal teams and clients.
  • Use AI tools (such as ChatGPT) to assist in preparing quotes, estimates, and improving document efficiency.
  • Contribute ideas for improving administrative processes and workflow efficiency.
  • Provide friendly, professional client-facing communication and support when required.

Key Requirements

  • 2–3 years of experience in a similar administrative or office support role.
  • Strong proficiency with Microsoft Office Suite (Word, Excel, Outlook) and Dropbox.
  • Working knowledge of QuickBooks for basic accounting and invoicing tasks.
  • Excellent communication skills, both written and verbal.
  • Friendly, approachable, and professional demeanor with a positive "can-do" attitude.
  • Highly organized with strong attention to detail and time management skills.
  • Ability to work autonomously and handle multiple priorities effectively.
  • Creative thinker who can identify and implement process improvements.
  • Familiarity with AI tools for content generation or workflow automation is an advantage.
  • Previous experience working with Australian clients, particularly in the construction or building industry, is highly regarded.
