Overview

A modern Indian kitchen and bar is seeking a Virtual Assistant to support its management team with a range of administrative, operational, and customer-service tasks.

This role is ideal for someone with prior restaurant or hospitality experience who understands the fast-paced nature of the industry and can bring structure, reliability, and strong organizational skills to the team.

The Virtual Assistant will manage scheduling, calendar coordination, payroll and bookkeeping assistance, inventory tracking, and email-based catering support. Experience with QuickBooks Online and Square is a plus, and familiarity with social media management is highly preferred. By keeping operations organized and communication flowing, this role helps ensure the restaurant continues to deliver smooth service behind the scenes.

Key Responsibilities

Administrative & Scheduling Support

  • Manage calendars and appointments for ownership and management team.
  • Schedule staff meetings, vendor appointments, and operational reminders.
  • Coordinate catering and event-related bookings.
  • Keep internal calendars and task lists organized and updated.

Operational & Bookkeeping Support

  • Track and update restaurant inventory levels; flag items for reorder.
  • Collect vendor quotes and coordinate service appointments (cleaning, pest control, maintenance, etc.).
  • Assist with payroll preparation and reporting.
  • Support bookkeeping tasks such as data entry and expense tracking using QuickBooks Online (QBO)

Customer Support & Communication

  • Manage incoming catering inquiries and client communication via email
  • Ensure prompt, professional responses to customer requests.
  • Maintain email templates and track inquiries through to completion.

Social Media & Marketing Assistance

  • Support basic social media management: post scheduling, caption drafting, and content creation & organization.
  • Coordinate updates with management for promotions or special events.
  • Maintain brand consistency across platforms.

Potential Expanded Responsibilities (as the role grows)

  • Update menus, hours, or promotions across Google Business, Yelp, and social platforms.
  • Help document restaurant workflows (inventory tracking, catering process, ordering checklists).
  • Track catering leads and assist with follow-up emails or proposal templates.
  • Maintain organized digital files for invoices, vendor contracts, and compliance documents.
  • Prepare weekly management reports (sales summaries, payroll, or inventory snapshots).

Required Qualifications

  • 3+ years of experience in administrative, operations, or support roles.
  • Prior experience working in or supporting restaurant or hospitality businesses
  • Strong organizational skills with excellent attention to detail.
  • Excellent written English and email communication skills.
  • Ability to manage multiple priorities in a fast-paced environment.
  • Proven track record of reliability, confidentiality, and proactive communication.

Bonus / Nice-to-Have

  • Experience with QuickBooks Online (QBO) and basic payroll preparation.
  • Familiarity with Square POS or similar restaurant payment systems.
  • Prior exposure to catering operations or client-service communication.
  • Social media management experience (Instagram, Facebook, etc.).
  • Interest in hospitality, customer experience, and process optimization.
