About the Role
We are seeking an extremely reliable, detail-oriented Virtual Assistant to support the owner of a home care agency. This role is crucial to the day-to-day operations of the company, so we need someone who is consistent, trustworthy, and able to follow directions accurately and on time.
Please apply ONLY if you are dependable, communicate promptly, and take pride in delivering high-quality work. Previous issues with VAs suddenly becoming unavailable or not following instructions will NOT be acceptable in this position.

Secondary Employment
We understand that many virtual assistants have additional jobs. This is acceptable as long as it does not interfere with your responsibilities in this role. You must be able to:
- Complete tasks by the assigned deadlines
- Respond promptly during your scheduled working hours
- Maintain consistency and reliability
- Communicate ahead of time if any issues arise
If a secondary job affects performance, availability, or reliability, this position will not be a fit.
Training Period (IMPORTANT)
Training lasts 2 months.
During training, compensation will be itemized per task (Every completed assignment has a set rate).
After training, pay will transition to a standard hourly weekly-pay structure.
Days/Shifts:
M-F, 5AM-10AM CST
M-F, 3PM-8PM CST
Sa-Su, 8AM-4PM CST
Sa-Su, 4PM-8PM CST
(Please note: Some listed hours are on-call communication periods. Some of these hours will be designated as availability hours, meaning you may not be actively working the entire time but must remain reachable for communication from the business owner or clients.)
Key Responsibilities
- Provide daily administrative and operational support to the business owner.
- Manage emails and communicate professionally on behalf of the company.
- Assist with onboarding caregivers and new patients.
- Monitor staff clock-ins/outs, schedules, and documentation.
- Prepare reports, forms, and documents across multiple platforms.
- Communicate with the internal team using Slack and other tools.
- Maintain the business owner's calendar, tasks, and priorities.
- Handle phone calls, follow-ups, and general inquiries.
- Follow instructions carefully and complete tasks on time.
- Maintain strict confidentiality and professionalism.
- Perform additional healthcare administrative tasks as needed.
Qualifications
- Highly reliable and consistent (non-negotiable).
- Fluent English speaker with clear communication and minimal accent.
- Strong verbal and written communication skills.
- Proficient in Microsoft Office (Word, Excel, PowerPoint).
- Comfortable using Slack, GMAIL and similar platforms.
- Experience in healthcare or home care is preferred but not required.
- Ability to follow detailed instructions accurately and meet deadlines.
- Organized, self-directed, and able to work without micromanagement.
- Must have stable internet and a quiet work environment.
