About the Role
We are expanding our team for 2026 and seeking skilled Technical Virtual Assistants who are proficient in supporting clients with advanced digital platforms, automation tools, and technical system setup. This role goes beyond general administrative work—ideal candidates will have hands-on experience with tools such as GoHighLevel, Notion, Kajabi, HubSpot, WordPress, and other specialized online business systems.
You will work closely with clients to manage, optimize, and troubleshoot platforms that drive their business operations. A strong technical background, attention to detail, and the ability to learn new systems quickly are essential.
Key Responsibilities
- Set up, customize, and maintain client systems using GoHighLevel, Kajabi, Notion, HubSpot, WordPress, and similar platforms.
- Build and optimize funnels, automations, pipelines, email campaigns, and CRM workflows.
- Maintain and update CRM databases, ensuring accuracy, segmentation, and proper integration across tools.
- Configure landing pages, membership sites, forms, automations, and dashboards.
- Support client projects through task creation, timeline management, and deliverable coordination using project management platforms (Asana, Trello, ClickUp, ).
- Troubleshoot tech issues and provide step-by-step support to clients and team members.
- Create SOPs, process documentation, and system workflows to ensure tech clarity and consistency.
- Assist with website updates, plugin management, content uploads, and light WordPress administration.
- Conduct research on software tools, integrations, plug-ins, and workflow improvements.
- Prepare reports, analytics summaries, and platform insights to support client decision-making.
Qualifications
- 1–2 years of experience as a Technical Virtual Assistant, Systems VA, Automation VA, or similar technical support role.
- Hands-on expertise with at least two of the following:
- GoHighLevel (pipelines, triggers, workflows, campaigns, automations)
- HubSpot (CRM, automation, email marketing)
- Notion (databases, systems, workspaces, automation)
- Kajabi (products, funnels, email sequences, automations)
- WordPress (site edits, content updates, plugin management such as elementor)
- Familiarity with additional SAAS tools such as: Zapier, Airtable, Slack, Calendly, ClickUp,
- Strong understanding of funnels, digital workflows, and CRM management.
- Excellent organizational and time-management skills.
- Strong written and verbal communication abilities.
- Comfortable working independently and managing multiple client accounts.
- Tech-savvy with the ability to quickly learn new software systems.
Preferred Skills (Nice to Have)
- Experience supporting multiple clients simultaneously in an agency or freelance VA setup.
- Knowledge of automation strategy, API connections, and system integrations.
- Background in digital marketing, operations, or online business management.
- Experience with email marketing tools, landing page builders, and membership platforms.
- Understanding of analytics tools and reporting dashboards.
