About the Role:

We are seeking a highly organized and resourceful Administrator / Executive Assistant (General Virtual Assistant) to support our leadership team in a remote capacity. The ideal candidate will be responsible for managing administrative tasks, coordinating schedules, handling communications, and providing executive-level support. This role is best suited for someone proactive, detail-oriented, and capable of handling multiple priorities while working independently in a virtual environment.

Key Responsibilities:

  • Provide executive-level administrative support, including managing calendars, scheduling meetings, and coordinating virtual events.
  • Handle email management, correspondence, and follow-ups on behalf of executives.
  • Prepare reports, presentations, and documentation as required.
  • Organize digital files, maintain databases, and ensure proper record-keeping.
  • Conduct research, prepare summaries, and support decision-making processes.
  • Assist with project coordination and task tracking to ensure deadlines are met.
  • Liaise with clients, stakeholders, and team members on behalf of executives.
  • Manage travel arrangements, itineraries, and expense tracking (as needed).
  • Support general virtual assistant tasks including data entry, online research, and basic bookkeeping.
  • Maintain confidentiality and professionalism in handling sensitive information.

Qualifications:

  • Bachelor's degree in Business Administration, Management, or related field preferred (not required with strong experience).
  • Australian experience is necessary.
  • Proven experience as an Executive Assistant, Administrator, Virtual Assistant, or similar role.
  • Excellent organizational and multitasking abilities with strong attention to detail.
  • Proficiency in productivity and collaboration tools (e.g., Google Workspace, Microsoft Office, Slack, Zoom, Trello, and Asana).
  • Strong written and verbal communication skills.
  • Ability to prioritize tasks and work independently in a fully remote setup.
  • Discretion and professionalism in handling confidential matters.
  • A portfolio of past work is required.

Nice-to-Have Skills:

  • Experience supporting senior executives or remote teams.
  • Knowledge of basic bookkeeping, invoicing, or HR administration.
  • Familiarity with CRM systems and project management software.
  • Social media management or marketing support experience is a plus.
