- Calendar and Schedule Management:
Oversee and manage the executive's calendar by scheduling meetings, appointments, and travel plans. Prioritize events to ensure efficient use of the executive's time. Prepare for meetings by organizing agendas, materials, and briefings to ensure the executive is fully prepared.
- Communication Management:
Handle incoming calls, emails, and correspondence, ensuring timely and professional responses. Serve as the first point of contact for internal and external stakeholders, maintaining a high level of professionalism. Prepare, review, and edit documents, presentations, and reports for internal and external communication.
- Travel Coordination:
Plan and organize complex travel arrangements, including flights, accommodations, transportation, and itineraries. Ensure all travel details align with the executive's schedule and preferences. Handle travel expense reporting and manage receipts for reimbursement purposes.
- Meeting Coordination:
Arrange logistics for meetings, conferences, and special events, including venue selection, catering, technology setup, and equipment. Prepare meeting agendas, take minutes, track action items, and follow up on deadlines. Facilitate effective communication and coordination between the executive and team members.
- Confidentiality and Discretion:
Handle sensitive and confidential information with the utmost discretion and professionalism. Exercise sound judgment regarding the sharing of information while ensuring the executive's privacy is maintained.
- Event Planning & Coordination:
Plan and execute internal and external events, such as conferences, client meetings, company-wide gatherings, and team-building activities. Manage event logistics, including invitations, RSVPs, and materials to ensure seamless execution.
- Property Management:
Coordinate property maintenance, repairs, and inspections by liaising with contractors and service providers. Manage tenant relations, addressing inquiries, complaints, and lease matters. Track lease agreements, renewals, and expirations to ensure timely follow-ups and actions. Maintain organized property files, contracts, and records for easy access. Assist in preparing budgets, financial reports, and tracking expenses related to property operations. Process invoices, manage vendor payments, and follow up on property-related financial transactions. Provide reports on property performance, occupancy rates, maintenance costs, and rental income for the executive's review.
