Job Description

Act as part of the process ownership team for software license management, maintaining accurate records and documentation.

  • Liaise with various IT stakeholders to monitor, update, and reconcile software license entitlements and utilization, ensuring compliance with contractual and regulatory requirements.
  • Manage the software license register and IT asset inventory using IT Asset Management (ITAM) tools (e.g., ServiceNow, Flexera).
  • Facilitate contract administration, renewals, and lifecycle planning for software assets.
  • Coordinate with vendors for licensing agreements, contract renewals, training, and support activities.
  • Prepare and present regular reports and dashboards on license utilization, compliance status, and asset performance.
  • Support audit and compliance initiatives related to software asset management.

B. Procurement & Vendor Management

  • Assist in developing procurement strategies and plans for software assets.
  • Conduct market research and evaluate suppliers to support informed procurement decisions.
  • Assist in preparing and reviewing procurement documentation (e.g., Statements of Work, RFIs, proposals, contracts).
  • Collaborate with internal stakeholders to gather vendor performance data and insights.
  • Track procurement activities, monitor progress, and propose solutions to mitigate risks and issues.
  • Ensure timely availability of accurate data for contract expirations and renewals.
  • Drive process improvements in procurement workflows and vendor management practices.

C. Stakeholder Engagement, Reporting, and Other Tasks

  • Coordinate with IT units, project teams, and vendor partners to ensure alignment of software asset and procurement activities.
  • Provide accurate and timely information to stakeholders to support decision-making and continuous improvement.
  • Support the planning and coordination of vendor governance meetings, vendor-related training sessions, and events.
  • Perform additional tasks assigned by the supervisor to support vendor management services and IT department initiatives.

Requirements and Qualifications

  • Bachelor's degree in Information Technology, Business, Finance, or a related field.
  • Demonstrated interest or experience in IT procurement, software licensing, vendor management, or IT asset management through academic projects, internships, or professional exposure.
  • Familiarity with productivity tools (e.g., Microsoft Excel, Office 365); experience with ITAM tools (e.g., ServiceNow, Flexera) is an advantage.
  • Strong analytical and problem-solving skills with attention to detail and a structured approach.
  • Good written and verbal communication skills.
  • Ability to work collaboratively in a diverse team environment.
  • Willingness to learn and adapt to new tools, processes, and technologies.
  • Strong organizational skills and ability to manage multiple priorities.
  • Professional certifications such as ITIL or IAITAM are a plus; willingness to pursue relevant certifications is encouraged.

Job Type: Fixed term

Contract length: 12 months

Pay: Php30, Php35,000.00 per month
