Our client is looking to hire a Executive Assistant for their San Juan City office.
Our client is duly registered events management company founded in the Philippines during 1996. As of present time, the client is the chief exhibition and events management company in the country. In nearly twenty years of practice in producing quality trade and consumer shows in partnership with thriving countries, the company is still making every effort to set records and go global by targeting international exhibitors to participate in our trade shows and vis a vis carry Philippine products abroad.
Qualifications:
- Bachelor's Degree in related field
- Preferably with at least 1 year of experience, but fresh graduates are welcome to apply
- 18 years old and above
Job Duties and Responsibilities:
- Helps Managing Director make consistent decisions by advising Managing Director of historical information
- Completes projects and special assignments by establishing objectives; setting priorities; problem solving; making adjustments to plans
- Reviews client project proposals and other new business proposals
- Reviews and manages client contracts/arrangements
- Drafts correspondence, speeches, presentations and press materials and announcements from the Managing Director Office
- Handles the Intellectual Property Offering (IPO) of WSI monitoring renewal
- Provides support to sales, marketing, sponsorship in order to ensure smooth running of event logistics
- Monitors the Post Event submission of Team Lead per event at least one month after the event
- Monitors the Project Bible of each event of Team Lead
- Prepares and ensures that materials to be used: post event report; sales kit, sales materials-one pager, updated floor plan and reservation form as well as to ensure that post event videos are updated in all IPAD for external sales meetings/client presentations
- Handles the VIP List for the Gala Night
- Researches for business meeting of Mafbex and Wocee and Wosas and other events as required
- Researches for regional hotel partners
- Monitors external events and assigns who employees will attend the said event
- Researches for leads for each event
- Handles the Job Orders of the Creatives Team for final approval of Managing Director
- Organizes meetings and books meeting rooms
- Attends meetings as required and prepares minutes to provide formal record of discussions. Submits to Managing Director in draft form for review prior to distribution of the approved copies to the members of the meeting
- Acts as the Admin for the WSI Team Group Chat
- Assigns the radio call sign for New Employees
- Handles the IT or Admin of worldbexevents email
- Monitors and Maintains the company's database
- Consolidates the list of inquiries from the inquire email
- Manages time between executive activities and administrative duties that may be assigned from time to time
- Ensures the best administrative system is in place and looks for ways to improve the current system
- Performs other related duties that may be assigned from time to time
