Role Overview::

As an Executive Assistant, you'll act as the right hand to the company's co-founders—primarily the CEO and secondarily the CTO. You'll manage high-volume scheduling, email prioritization, recruiting coordination, and administrative tasks that create leverage for leadership. This role is ideal for someone who thrives in fast-paced environments, has sharp communication skills, and can anticipate needs before they arise.

Your Impact:

Your work will enable the leadership team to operate at maximum efficiency by ensuring priorities are managed seamlessly, meetings are strategically scheduled, candidates are smoothly coordinated, and critical admin functions are executed with precision.

Core Responsibilities::

1. Executive Support (50%)

  • Manage CEO and CTO inboxes, triaging messages, drafting responses, and surfacing urgent priorities
  • Own calendar management across multiple time zones, scheduling both internal and external meetings
  • Serve as a discreet liaison in select communications with investors, clients, and partners

  • Recruiting Coordination (25%)

  • Schedule and coordinate 10–20 candidate interviews per week across departments

  • Communicate with hiring managers and candidates to ensure a smooth interview process
  • Maintain scheduling workflows across tools (Acuity, Calendly, ATS)

  • Operations & Admin (15%)

  • Handle travel arrangements and itineraries (1–2 trips/month)

  • Support vendor research, swag orders, and light process documentation
  • Assist with internal workflows across Notion, Slack, and scheduling platforms

  • Special Projects (10%)

  • Execute ad hoc "figure it out" tasks with minimal context but high accuracy

  • Support light project management tasks to streamline leadership workflows

Requirements:

Must-Have:

  • 3+ years of experience as an Executive Assistant, ideally supporting C-suite or founders
  • Strong calendar and inbox management across multiple executives and time zones
  • Exceptional written and verbal communication skills with high emotional intelligence
  • Proven ability to handle sensitive information with discretion
  • Strong organizational skills and attention to detail, with the ability to pivot quickly
  • Comfort using productivity tools (Google Workspace, Slack, Notion, scheduling apps)

Nice-to-Have:

  • Experience in early-stage startups, tech-forward companies, or AI-related industries
  • Exposure to private equity, finance, or M&A environments
  • Track record of creating SOPs and improving administrative processes
  • Familiarity with working in async, fast-paced, global teams
