Job Brief
We are seeking an Executive Assistant with strong experience in the Australian events and marketing landscape. This role provides high-level administrative and strategic support to the Directors, while also contributing to broader marketing initiatives and mentoring junior team members. The ideal candidate will be a confident communicator, highly organised, and proactive in managing projects, logistics, and stakeholder engagement.
Responsibilities
Provide direct executive support to the Directors, including calendar management, travel bookings, and general administration
Assist in the planning, coordination, and execution of marketing and event initiatives
Draft high-quality written communication, reports, and presentations
Liaise with vendors, venues, and partners across the Australian events and marketing ecosystem
Support project coordination efforts across departments
Mentor and provide guidance to junior team members
Assist with campaign scheduling, event logistics, and stakeholder follow-ups
Ensure timely follow-through on action items and delegated tasks
Requirements
Prior experience supporting senior executives in a marketing or events-driven environment
Deep understanding of the Australian marketing and events landscape
Strong written and verbal communication skills
Demonstrated ability to multitask and manage competing priorities
Proven ability to handle confidential information with discretion
Experience coordinating travel, managing diaries, and handling logistics for executives
Desirable
Experience working in a fast-paced or start-up environment
Background in event coordination or marketing campaign execution
Exposure to CRM tools or project management systems
Software Proficiency
Microsoft Office Suite (Outlook, Word, Excel, PowerPoint)
Canva or Adobe Creative Suite (for basic event/marketing materials)
Event tools such as Eventbrite or Humanitix
CRM or project management platforms (e.g. Trello, Asana, HubSpot)
Personal Attributes
Professional and composed under pressure
Highly organised with strong attention to detail
Exceptional communicator and relationship builder
Proactive and able to anticipate needs
Collaborative, with leadership potential to mentor and support others
Time Zone: Australian Business Hours
