Role Summary

We are seeking a highly organized and proactive Executive Assistant to the CEO to provide comprehensive administrative and operational support in a virtual setting. The ideal candidate has prior experience supporting C-level executives, preferably with Australian clients, and possesses strong skills in and HubSpot (or similar CRM tools). This role requires exceptional attention to detail, outstanding communication abilities, and the ability to manage priorities in a fast-paced environment.

Key Responsibilities

Executive Support & Administration

  • Manage and maintain the CEO's calendar, scheduling meetings, calls, and travel arrangements.
  • Prepare meeting agendas, take minutes, and ensure timely follow-ups on action items.
  • Screen, prioritize, and respond to emails, ensuring the CEO is updated on critical matters.
  • Handle confidential information with absolute discretion.

Project Coordination & Workflow Management

  • Assist the CEO with project tracking using , ensuring deliverables are updated and on schedule.
  • Coordinate cross-functional tasks, ensuring seamless communication between teams.
  • Maintain dashboards and progress reports for ongoing initiatives.

Communication & Stakeholder Liaison

  • Act as the primary point of contact for internal and external stakeholders when required.
  • Draft correspondence, presentations, and documents for executive meetings.
  • Support the CEO in relationship management with partners, vendors, and clients.

Process Optimization & CRM Management

  • Utilize HubSpot (or similar platforms) to track leads, contacts, and follow-ups.
  • Maintain accurate records and organize information to improve operational efficiency.
  • Identify opportunities to automate and streamline administrative processes.

Qualifications

  • Bachelor's degree in Business Administration, Management, or related field (or equivalent experience).
  • 3+ years of experience as an Executive Assistant, Personal Assistant, or similar role supporting C-level executives.
  • Proven track record working with Australian clients or international teams.
  • Proficiency in is required; experience with HubSpot is an advantage.
  • Excellent written and verbal English communication skills.
  • Strong organizational, multitasking, and time management abilities.
  • Proficiency with office tools (G Suite, Microsoft Office) and virtual meeting platforms (Zoom, Teams, Google Meet).
  • High level of integrity, professionalism, and confidentiality.
