Job Highlights

- Independent Contractor arrangement
- Side note: Since this is a permanent work-from-home position and the arrangement is that of an "Independent Contractor", the selected candidates must have their own computer and internet connection. They will also be accountable for handling their taxes and benefits independently. The salary is calculated and offered on an hourly basis.
Key Responsibilities
- Process and record incoming invoices in the accounting and project management systems.
- Match invoices to the correct jobs, budgets, and purchase orders to ensure accurate job costing.
- Track and document project progress, materials, and hours based on contractor reports.
- Ensure all financial transactions are properly documented and organized.
- Apply appropriate payment terms based on supplier agreements.
- Prepare payment batches in Xero (or other accounting software) for management approval.
- Communicate with suppliers and contractors regarding payment status and inquiries.
- Maintain organized records of all financial documentation.
- Follow up with suppliers and trades regarding payment dates and terms.
- Provide support during transitions to new accounting or project management software systems.
Requirements
- Experience in bookkeeping, accounts payable, or contract administration (construction or building industry experience a plus).
- Proficiency with accounting software (Xero experience preferred).
- Familiarity with project management software (experience with Build Logic or similar tools is advantageous).
- Strong attention to detail, especially in matching invoices to jobs and budgets.
- Excellent organizational and documentation skills.
- Good communication skills for interacting with suppliers, contractors, and internal teams.
- Ability to work independently and identify potential issues proactively.
- Understanding of basic bookkeeping and financial principles.
- Adaptability to learn new software systems and processes.
Scope of Work
- Processing 2–3 hours of invoices and financial documentation per week.
- Managing supplier and contractor communications related to financial matters.
- Preparing payment batches for final approval by management.
- Tracking project costs against budgets.
- Ensuring accurate and up-to-date financial records across systems.
- Supporting the development and documentation of financial workflows and processes.
