Key Responsibilities
Bookkeeping & Finance Support
- Perform daily bookkeeping and data entry in Xero
- Reconcile bank transactions and manage clearing accounts
- Handle accounts payable/receivable, supplier invoices, and monthly pay runs
- Maintain and update Xero subscription records
Client & Admin Support
- Manage client records across Xero, XPM, Ignition, and SharePoint
- Prepare proposals and invoices (instant, one-off, or instalment)
- Set up client workflows using ClickUp and internal trackers
- Coordinate and send client correspondence, including Notices of Assessment
Compliance & Regulatory Tasks
- Monitor practice mailboxes for ATO and ASIC communications
- Prepare ASIC forms, company statements, declarations of solvency
- Lodge Form 484 and manage general ASIC-related filings
- Set internal reminders and coordinate billing confirmations
General Administrative Support
- Format emails and assist with correspondence
- Conduct research for meetings, internal projects, and events
- Occasionally edit images/graphics for internal use
- Support recurring tasks and ad-hoc admin projects
What We're Looking For
- 2+ years' experience in bookkeeping, admin, or virtual assistance (ideally with an AU accounting firm)
- Strong working knowledge of Xero, XPM, Ignition, ClickUp, and SharePoint
- High level of accuracy, organization, and independence
- Excellent communication skills – both written and verbal
- Familiarity with ATO and ASIC portals (preferred but not essential)
- Ability to manage multiple tasks and meet deadlines with minimal supervision
