Systems & Technology

  • Use and manage Dotloop, Follow Up Boss, Sisu, and Matrix (MLS)
  • Design, implement, and improve systems for efficiency
  • Leverage AI and automation to streamline operations

Transaction Management

  • Manage pre-listing, listing, and contract-to-close activities
  • Oversee all transaction files for accuracy and compliance
  • Read and understand Texas real estate contracts
  • Prepare and manage listing packages
  • Handle paperwork and documentation

Client Experience (Follow Up Boss)

  • Provide exceptional communication, follow-ups, and updates
  • Send weekly client updates via call, email, and SMS
  • Host appointments and ensure professional client interactions
  • Deliver "customers for life" service through attention to detail

Market & Database Management (Follow Up Boss)

  • Prepare Current Market Analyses (CMA) for pre-listing appointments
  • Maintain database integrity in Follow Up Boss
  • Make 10 daily database calls to nurture leads and drive referrals
  • Call past clients for referral opportunities

Accountability & Reporting

  • Track and report daily KPIs
  • Provide weekly updates to leadership

Problem Solving

  • Act as a proactive self-starter
  • Identify issues early and propose solutions during 1:1 leadership meetings

Experience and Proficiency

  • Excellent English communication skills (written and verbal)
  • Proven Real Estate Administrative Support experience as a VA (IMPORTANT)
  • Minimum of 3 years of Real Estate experience/background
  • Experienced in closing multiple real estate deals
  • Strong CRM management experience, preferably with Follow Up Boss
  • Experienced using Transaction Management platforms (preferably Sisu and Dotloop)
  • Familiar with MLS platforms
  • AI proficiency is a strong plus
