General Specialist

We are seeking a detail-oriented and proactive General Specialist to support real estate operations, transaction coordination, and administrative processes. This role plays a key part in keeping transactions organized, ensuring compliance with deadlines, and maintaining smooth communication between clients, agents, and partners.
Key Responsibilities
Transaction & Document Management
- Assist with drafting contracts, disclosures, and due diligence documents.
- Collect, verify, and organize proof of completed inspection repairs.
- Maintain and label all transaction documents in company systems for easy access and compliance.
- Collaborate with the Transaction Coordinator to track contingencies, inspections, and closing timelines.
- Ensure all deadlines are met and documents are submitted accurately and on time.
Listing & Marketing Support
- Assist with listing preparation, MLS input, and post-listing administrative tasks.
- Manage and clean up reverse prospect lists to improve targeting and follow-up.
- Draft and send email blasts for property promotions, open houses, and outreach campaigns.
Administrative Coordination
- Provide general administrative support to keep closings and team operations on track.
- Maintain up-to-date transaction records and client communications.
- Support inter-department coordination to ensure seamless workflows and information sharing.
Experience and Proficiency
- Prior experience as a VA in real estate, brokerage, or transaction coordination is preferred.
- Strong familiarity with contracts, disclosures, and real estate transaction documents.
- Proficiency in CRM systems, MLS platforms, and email marketing tools.
- Excellent written and verbal English communication skills.
- Exceptional organizational and multitasking abilities.
- Detail-oriented with a proactive, problem-solving mindset.
- Ability to coordinate across multiple divisions while maintaining accuracy and efficiency.
